ease Management & Documentation
- Abstracting: Review, interpret, and accurately abstract key legal and financial information (e.g., rent, term, renewal options, operating expense clauses, critical dates) from executed lease agreements and amendments into the lease management database (e.g., Yardi, MRI).
- Maintenance: Ensure the lease database is current, accurate, and complete with all lease documents and tenant/landlord information.
- Compliance: Monitor and enforce compliance with lease terms and conditions for both the company and the other party.
- Filing: Organize and maintain both physical and electronic lease files for audit and easy access.
Financial & Accounting Support
- Billing & Payments: Calculate, process, and track rent payments, operating expenses (CAM), real estate taxes, insurance, and other recoverable items, ensuring proper billing and payment.
- Reconciliation: Perform or assist with the annual reconciliation of operating expenses and real estate taxes.
- Reporting: Generate and distribute monthly, quarterly, and ad-hoc reports on lease expirations, portfolio performance, payment schedules, and other critical metrics for finance and management teams.
Tenant & Landlord Relations
- Communication: Act as a key liaison to address and resolve inquiries from tenants, landlords, property managers, and internal stakeholders regarding lease terms and obligations.
- Critical Dates: Proactively monitor and track critical dates such as lease expiration, renewal options, and termination windows, initiating the necessary steps for renewals or exits.
- Process Coordination: Coordinate with legal, accounting, finance, and property management teams to ensure smooth transactions, payment processing, and issue resolution.
- Required Skills & Qualifications
- Experience: Minimum of 2-5 years of experience in lease administration, real estate management, or a related field.
- Education: Bachelor's degree in Business Administration, Finance, Real Estate, or a related discipline (or equivalent relevant work experience).
- Technical Proficiency:
- Advanced proficiency in Microsoft Office Suite, especially Excel.
- Mandatory experience with lease administration software
- Knowledge: Strong understanding of commercial or residential lease terminology, documentation, and real estate laws/regulations.
- Core Competencies:
- Exceptional attention to detail and accuracy is critical.
- Strong analytical and problem-solving skills.
- Excellent written and verbal communication and interpersonal skills.
- Proven ability to manage multiple tasks, prioritize, and meet tight deadlines.
