Job Summary

The Leasing Operations Executive will be responsible for managing all aspects of the leasing process, ensuring efficient operations, regulatory compliance, and superior tenant relations. The role requires strong organizational abilities, attention to detail, and a commitment to delivering exceptional service to both tenants and internal stakeholders.

Key Responsibilities Leasing Operations

  • Manage leasing inquiries, property viewings, and follow up with prospective tenants.
  • Prepare, review, and process lease agreements, renewal contracts, and addendums in line with company policies and applicable laws.
  • Maintain accurate and up-to-date records of unit availability, rental rates, and lease terms.
  • Coordinate all move-in and move-out activities, including inspections, documentation, and handover procedures.
  • Ensure proper organization and secure storage of all lease files and tenant documentation, both digitally and physically.
  • Tenant Relations
  • Act as the primary point of contact for tenants regarding lease terms, renewals, payments, and general inquiries.
  • Address tenant concerns promptly and professionally to ensure high satisfaction levels.
  • Prepare and issue renewal notices, rent increase letters, and lease expiry reminders in a timely manner.

Financial and Administrative Support

  • Assist in rent collection, monitor outstanding payments, and coordinate with the finance department for reconciliations.
  • Contribute to the preparation of monthly leasing, occupancy, and performance reports.
  • Ensure accurate entry and maintenance of lease and tenant data in the property management system.

Compliance and Coordination

  • Ensure all leasing activities are conducted in full compliance with local regulations, company policies, and landlord-tenant laws.
  • Liaise with facility management and maintenance teams to ensure units are inspected, maintained, and ready for handover.
  • Provide support during internal audits and reviews related to lease documentation and tenant files.

Qualifications and Experience

  • Experience: Minimum of 2–5 years in leasing administration, property management, or real estate operations.
  • Technical Skills: Proficient in MS Office and property management software such as Yardi, MRI, or SAP. Familiarity with Ejari and Noqodi systems is required.
