Facility Management Coordinator

The German International School Abu Dhabi continues to expand while improving its infrastructure and processes. We are looking for a motivated, experienced individual to coordinate services, projects, and procurement related to our buildings, equipment, and operations in order to improve our learning, playing, and living spaces.

Our school

The German International School Abu Dhabi (GISAD) is a recognised German school abroad and was once again rated as one of the best schools in Abu Dhabi by the inspection of the Abu Dhabi Department of Education and Knowledge in summer 2021. It has also been awarded the "Excellent German School Abroad" seal of approval by the Federal and State Inspectorate.

GISAD is growing steadily now with over 550 pupils from kindergarten to high school and a wide range of educational and all-day programs.

Your responsibilities:

Management & Organisation

• Ensuring the smooth operation of all technical systems (air conditioning, ventilation, sanitary, electrical, IT) by external service providers.
• Planning, control and optimisation of work processes in facility management.
• Developing and keeping up maintenance and inspection plans.
• Regular reporting to the administrative management in order to make procedures transparent, optimise processes and continuously develop standards.

Management of service providers.

• Development of key performance indicators (KPIs) for quality and performance monitoring, e.g.:
• Response time in the event of faults.
• Adherence to maintenance schedules.
• Energy consumption / efficiency data.
• Hygiene and cleanliness protocols.
• Cost control per service unit.
• Regular quality checks and documentation of the results.

Construction coordination and project management.

• Planning and coordination of construction and renovation projects (interior & exterior) - with the aim of sustainably improving learning and leisure areas for our students.
• Interface between administrative management, construction companies, architects and authorities.
• Budget control, scheduling and acceptance of construction work.

Security and compliance responsibilities

• Ensuring compliance with all legal regulations (fire protection, occupational safety, hygiene).
• Organisation and monitoring of inspections by experts and authorities.

Procurement and purchasing.

• Inventory and stock management: maintenance of stock lists and optimisation of processes.
• Collaboration in budget planning and cost control for buildings, equipment and services.
• Obtaining offers, comparison and supplier management.
• Supporting teachers in the functional and appealing design of classrooms.

Profile requirements: **

• Experience in facility management, building management, project coordination.
• Technical understanding (building technologies, basic IT knowledge is an advantage)
• The ability to organise, work in a structured way, and multitask.
• Proactive personality: sees what needs to be done and implements it reliably.
• Very good communication skills in English (knowledge of German is an advantage)
• Resilience, reliability, and team spirit.
