**Key Responsibilities**
- Create gate passes and coordinate with agents for real-time updates.
- Liaise with the technical department to ensure smooth mobilization of service teams.
- Prepare detailed tool lists for scheduled jobs.
- Organize and coordinate internal meetings.
- Attend calls, redirect inquiries, and pass leads to the sales team as appropriate.
- Coordinate between sales and technical teams for job mobilization.
- Maintain records of technician attendance, movement, and overtime.
- Monitor check-in/check-out times via **Zoho People**; follow up with technicians on missing entries and make required corrections.
- Ensure overtime records include job numbers and vessel names in the comment section
- Follow up with clients for pending payments after job completion.
- Manage the Managing Director’s schedule and assist with documentation
- Draft and dispatch letters, reports, and official documents for admin/management use.
- Support the accountant with payroll processing and HR data accuracy.
- Maintain confidentiality of sensitive company and employee information.
**Qualifications**
- Minimum **5 years of experience** in Administrative and HR roles.
- Bachelor’s degree in **Business Administration, Human Resources**, or a related field.
- Proficient in using **Zoho People** or similar HR software.
- Excellent command of **written and spoken English**.
- Strong organizational, time management, and multitasking skills.
- High level of attention to detail and accuracy.
- Ability to work under pressure and handle confidential information.
**Work Schedule**
**Monday to Friday**: 8:30 AM - 5:30 PM
**Saturday**: 8:30 AM - 2:00 PM
**Location**: Sharjah
**Job Types**: Full-time, Permanent
Pay: AED3,000.00 per month
**Experience**:
