Position Overview:
Will be responsible for managing and supervising a team of Public Relations Officers (PROs) and Typists. This position requires distributing work evenly, overseeing day-to-day operations, ensuring that tasks are completed efficiently and within deadlines, and managing escalations as necessary.
Key Responsibilities:
Team Supervision & Management:
- Supervise PROs personnel&aposs across various locations in the UAE.
- Oversee a team of Typists based at the corporate head office.
- Allocate tasks and ensure the proper distribution of work among team members based on workload and priorities.
- Monitor team performance and ensure that all work is carried out efficiently, accurately, and within set deadlines.
Task Coordination & Escalation Management:
- Handle and prioritize the flow of tasks to ensure all client requirements, both internal and external, deadlines are met.
- Act as the first point of escalation for any issues or challenges faced by the PROs or Typists.
- Resolve problems related to work tasks, office logistics, or customer queries in a timely manner.
- Maintain a systematic approach to manage tasks, from daily reporting to resolving any conflicts or complications.
PRO Desk & Typist Responsibilities:
- Oversee all PRO-related activities including documentation, permits, visa processing, government liaison, and legal paperwork.
- Ensure that Typists maintain accurate and up-to-date records, documentation, and databases.
- Ensure the quality and accuracy of all correspondence and reports generated by the Typists.
- Collaborate with the PRO team to ensure smooth coordination between government authorities and clients.
Training & Development:
- Mentor and guide PROs and Typists to enhance their skills and knowledge of their respective roles.
- Conduct training sessions to ensure team members are up to date with regulations, procedures, and best practices in administrative and PRO-related work.
- Foster a culture of continuous improvement and teamwork.
Performance Monitoring & Compliance:
- Evaluate the performance of each team member and provide constructive feedback.
- Ensure all team members adhere to company policies and compliance standards.
- Implement best practices and ensure the teams output is of the highest quality.
Administrative Support:
- Assist with and manage various HR administrative tasks.
- Manage and organize office paperwork, communication, and documentation for easy access and retrieval.
Skills & Qualifications:
- Minimum of 7-10 years of experience in administration (PRO), with at least 2 years in a supervisory role managing a team of PROs and/or Typists.
- Experience in managing and supervising teams across multiple locations is a plus.
- Strong leadership and team management skills.
- Excellent communication and interpersonal skills.
- Knowledge of PRO-related services and administrative processes in the UAE.
- Strong organizational skills with the ability to prioritize and manage multiple tasks effectively.
- Proficiency in both English and Arabic (written and spoken) is highly preferred.
