Executive - Property Handover (Emirati Talent)

We are seeking an experienced and detail-oriented Emirati Talent as Executive Property Handover to join our team in Sharjah, with a strong focus on client engagement and ensuring a seamless handover experience. Job Purpose: The Executive Property Handover is responsible for managing and coordinating the end-to-end property handover process to ensure a smooth, professional, and timely transfer of units from Alef Group to customers. This includes pre-handover inspections, coordination with internal departments (Projects, Sales, Finance, Customer Relations), scheduling handover appointments, preparing documentation, and addressing client queries to ensure a seamless customer experience. The role supports Alef Group's commitment to delivering high-quality properties and exceptional customer service in line with the company's brand reputation. Key Accountabilities: Property Handover Coordination - Manage and execute the complete handover process for residential and commercial units as per Alef Group's policies and timelines. - Liaise with relevant internal departments (Projects, Facilities, Finance, Sales Operations, Legal) to ensure units are technically and financially ready for handover. - Schedule and confirm handover appointments with clients, ensuring proper communication and preparation. - Prepare and verify handover documentation including NOCs, clearance certificates, checklists, and acceptance forms. - Facilitate smooth transfer of keys, access cards, and related property documents during handover. Pre-Handover Inspections & Quality Assurance - Conduct or coordinate pre-handover inspections to ensure that units are completed, clean, defect-free, and comply with quality standards. - Identify snags, defects, or incomplete works during inspection and coordinate with the Projects and Facilities teams for rectification. - Follow up on pending issues to ensure timely resolution prior to handover. - Maintain proper records of inspection reports, snag lists, and rectification timelines. Customer Communication & Experience - Serve as a primary point of contact for clients regarding handover-related queries, appointments, and documentation. - Provide clients with clear guidance on handover procedures, required documents, and timelines. - Ensure all customer concerns during the handover process are addressed promptly and escalated where necessary. - Deliver exceptional customer service, ensuring a positive handover experience that aligns with Alef Group's brand image. Documentation & System Management - Ensure that all handover documentation is complete, accurate, and archived (both physically and digitally) in accordance with company procedures. - Update CRM/ERP systems with handover dates, status, and relevant information to ensure data accuracy and traceability. - Prepare and issue official communications, acknowledgments, and handover reports. - Support internal audits and compliance checks by providing required handover data and records. Cross-Departmental Coordination - Coordinate with the Finance Department to confirm settlement of payments and service charges before initiating handover. - Work closely with Projects/Facilities teams to ensure timely completion and readiness of units. - Liaise with Sales Operations and Customer Relations teams to ensure client information is updated and accurate. - Collaborate with Legal/Contracts teams where required for documentation verification. Reporting & Continuous Improvement - Prepare regular handover status reports, highlighting number of scheduled, completed, and pending handovers, along with reasons for delays. - Track and analyze handover trends to identify process bottlenecks and suggest improvements. - Participate in continuous improvement initiatives to enhance handover efficiency and customer satisfaction. - Provide feedback from customers to relevant departments to support quality enhancement and future project planning. Educational, Qualification, Work Experience, and Skills required: Educational Qualification & Certifications: - Bachelor's degree in Business Administration, Real Estate, Engineering, or a related field. Work Experience: - 24 years of experience in property handover, real estate operations, or customer relations, preferably with a real estate developer in the UAE. - Experience working on residential and/or commercial property handovers is desirable. - Knowledge of Sharjah/UAE real estate regulations and developerbuyer processes is preferred. Skills required: - Strong knowledge of property handover procedures, documentation, and customer service standards within UAE real estate. - Excellent interpersonal and communication skills for dealing with clients and multiple internal stakeholders. - Detail-oriented with strong organizational and time management abilities. - Proficient in CRM/ERP systems and MS Office (Excel, Word, Outlook). - Problem-solving skills with the ability to handle unexpected issues calmly and professionally. - Customer-focused mindset with a proactive and positive attitude. - Basic understanding of construction and property management is an advantage. - Fluency in English & Arabic is required.
