Responsibilities

1. Meet prospective and current customers to deal with any issues or queries relating to renting the property.
2. Respond promptly to all enquiries, either by phone or email.
3. Prepare offers, new leases, renewals, termination, legal and extensions and obtain necessary signatures and payments.
4. Communicate the lease details to tenants and coordinate with the Accounts department for lease payments.
5. Maintain tenancy contract records and update activities on the excel database.
6. Ensure documents required are completed (Tenancy Contract, Tenant Information, Valid Passport Copy with Visa Page Residence, Emirates ID, Trade license (For Companies), Power of Attorney for Authorize Signatory, and all other documents).
7. Prepare tenancy agreement contract as per the approved government form.
8. Inform Accounts Dept. about expected tenant's payment transfer, confirm payment clearance, and inform about any payment delays.
9. Responsible for the move-out process of non-renewal and early termination lease, ensuring clearances from Electricity, Sewerage, and all other relevant departments.
10. Maintain all tenant file systems, both in paper format and electronically that may be easily accessed.
11. Prepare and distribute correspondence such as memos and letters to tenants.
12. Send monthly renewal/non-renewal notices (90 days prior to expiry).
13. Forward monthly utility bills to tenants and coordinate with tenants or authorities if there are any issues.
14. Filing of legal cases in case of payment default.
15. Coordinate with police department and municipality for legal issues and cases with tenants.
16. Calculate final balances related to tenants with legal cases.
17. Ensure Electricity, Sewerage, Maintenance/Utility, and all other relevant bills are paid on time for all properties.
18. Ensure payments for long-leased land fees are paid to the relevant authority (e.g., Dubai Real Estate corporation) on time.
