Job Purpose:
The purpose of the job is to provide high-level administrative support and secretarial assistance by including but not limited to managing office administration tasks, maintaining the schedule, travel plan arrangements, arranging meetings etc. efficiently for Vice President PCFC ensuring the smooth operation of the office.
Requirements:
Key Accountabilities:
• Organize, coordinate and maintain day-to-day schedule including appointments, meetings, and travel arrangements.
• Attend meetings, draft MOM's and follow-up on action plan.
• Manage communication channels and respond to correspondence appropriately on behalf of the Vice President, answering and screening telephone calls, and responding to emails, messages, and other correspondence.
• Maintain electronic and paper records ensuring information is organized and easily accessible
• Preparing reports, presentations, and correspondence accurately and swiftly.
• Professionally greeting and receiving guests and clients.
• Prepare and distribute internal and external documents, including reports, memos, and letters.
• Communicate effectively with other departments and external stakeholders.
• Compiling details, proofreading, and revising drafts of documents and reports before they are shared with employees or stakeholders.
• Handle confidential information with discretion and professionalism.
• Contribute in achievement of Department objectives by executing / achieving the KPIs assigned by line manager and submit relevant supporting documents during KPIs evaluation.
Information Security Responsibility:
• To understand and adhere to the information security policies and procedures related to their day-to-day activities and safeguard information assets from unauthorized access (disclosure, modification and destruction).
General Responsibilities:
• Adhere to company policy and procedures.
• Compliance with HR Policy and procedures.
Minimum Experience Required:
• More than 4 years in a similar role
Required:
• Bachelor's degree in Business Administration, Communications, or a related field
• Proficiency in Arabic and English [Oral and Written]
Preferred:
• Certification from a Secretarial school or institute
