Job Purpose:

The Procurement Assistant is responsible for the daily procurement for the whole school. They will track and manage the end-to-end process from order to delivery.

Key Accountabilities:

1. Responsible for ordering any items required on a daily, weekly, monthly or annual basis, including all stationery.
2. Be familiar with Taaleem approved vendors for any orders placed.
3. Ensure all orders are placed in a timely manner for required delivery timelines.
4. Keep an up-to-date record and inventory of all items, with set reorder levels for each item.
5. Compare and evaluate quotations from suppliers.
6. Negotiate with suppliers regarding payment terms and costs.
7. Manage all orders against relevant budget codes.
8. Ensure all orders placed are approved by the responsible person prior to placement.
9. Track orders placed through to completion.
10. Ensure tracking is in place for orders handed out to staff.
11. Monitor any delayed/cancelled items from orders placed and offer a substitute item to the staff if available.
12. Review quality of products at all times when delivery is made for any discrepancies.
13. Maintain good relationships with all suppliers.
14. Submit delivery notes and invoices to accounts for timely payments.
15. Coordinate with the storekeeper to update all records, including furniture items.
16. Keep delivery receipts for internal processing when teachers receive the requested items.

Additional Duties:

1. Cover lunch period in reception and other periods when required.
2. Set up and play music in common areas, including the daily National Anthem.
3. Complete daily checks to comply with external authority regulations as requested by the Facilities Manager.
4. Handle administration and reporting as necessary.
5. Support other areas of administration when required.
