Job OverviewExecutive Secretary – School Administration for GEMS Founders School – Dubai South. This full‑time role supports senior school operations, communication, documentation, scheduling, and stakeholder coordination in a busy international school environment.

Key Responsibilities
Provide professional secretarial and administrative support to school leadership and assigned departments.
Manage schedules, meeting arrangements, calendars, appointments, reminders, and follow‑up actions.
Prepare, format, file, and maintain school documents, letters, reports, records, and administrative correspondence.
Support communication with parents, students, colleagues, vendors, and visitors in a courteous and accurate manner.
Handle phone calls, emails, inquiries, messages, and information requests while maintaining confidentiality.
Coordinate meeting agendas, minutes, action points, and related documentation when required.
Assist with school events, community activities, extra‑curricular programmes, and internal coordination tasks.
Maintain organized filing systems, digital records, contact lists, forms, and office smooth daily office operations by tracking tasks, managing priorities, and responding to urgent requirements.
Work closely with academic and administrative teams to ensure information flow remains clear and timely.
Help prepare presentations, notices, circulars, parent communication, and operational updates as needed.
Maintain professional standards in visitor handling, front‑facing communication, and stakeholder service.

Ideal ProfileBachelor's degree from a recognized institution.3–4 years of work experience in an executive secretary, administrative assistant, school secretary, office coordinator, or similar role.
Strong organizational skills with the ability to manage multiple priorities in a busy school environment.
Excellent interpersonal skills for working closely with colleagues, students, parents, and school leaders.
Confident written and verbal communication skills.
Good attention to detail when handling documents, schedules, records, and correspondence.
Professional approach with discretion, confidentiality, reliability, and accountability.
Ability to work independently while supporting wider team goals.
Creative and enthusiastic mindset with willingness to support school life beyond routine using office software, email systems, calendars, digital files, and administrative tools.
