Position Overview The Inventory Controller is responsible for safeguarding inventory accuracy, stock integrity, and FEFO compliance within a regulated pharmaceutical and food distribution environment. The role ensures that all inventory movements are accurately recorded and reconciled within the ERP and WMS, maintaining alignment between system records and physical stock across all storage locations. In addition to day‑to‑day control, the Inventory Controller proactively manages inventory risk by monitoring expiry exposure, preventing avoidable losses, and ensuring disciplined batch tracking. The role also supports audit readiness by maintaining accurate documentation, enabling traceability, and escalating control gaps promptly, while working closely with Warehouse Operations, Supply Chain, Quality, and Finance to keep inventory reliable, compliant, and commercially protected. Roles and Responsibilities Inventory Control & System AccuracyMaintain accurate inventory records within ERP and WMS systems, ensuring alignment between system stock and physical stock. Validate and control inventory transactions including receipts, put‑away, transfers, adjustments, returns, and dispatches to protect stock integrity. Verify GRN postings and supporting documentation, ensuring discrepancies are identified, escalated, and resolved promptly. Ensure transaction discipline across all warehouse locations, including bin accuracy and traceability for batch‑controlled items.Receiving, Documentation & Audit TrailReview receiving documentation for completeness and accuracy, ensuring system entries reflect actual quantities, batch details, and expiry dates. Maintain clear inventory records and supporting logs to ensure full traceability and audit readiness. Support internal controls by ensuring inventory movements follow approved processes and escalation routes.FEFO, Batch & Expiry Risk ManagementMonitor FEFO compliance across picking and replenishment activities, escalating repeated deviations to the DC Supervisor. Track batches and expiry dates across inventory locations, ensuring proper status control for blocked, quarantined, or non‑conforming items where applicable. Proactively manage near‑expiry and slow‑moving stock risk by coordinating follow‑ups with Supply Chain, Sales, and Quality on mitigation actions and closure. Prepare and maintain expiry risk tracking and ensure timely escalation of high‑risk items to minimise losses and write‑offs.Cycle Counts & Physical Stock VerificationConduct daily cycle counts and periodic physical verifications as per the approved counting plan. Investigate count variances, reconcile results in the system, and ensure corrective actions are completed. Support full physical stock counts and year‑end inventory activities, ensuring accuracy and timely completion. Ensure counting compliance and maintain records of counts, findings, and actions taken.Variance Investigation & Corrective ActionsInvestigate stock variances, shortages, damages, and write‑off drivers using a structured root cause approach. Identify recurring control gaps and recommend corrective and preventive actions to reduce repeat variances. Coordinate with warehouse teams to implement corrective actions and confirm closure through rechecks or follow‑up counts.Reporting, KPIs & Audit SupportPrepare regular reports on inventory accuracy, cycle count compliance, stock variance, and expiry and damage exposure. Provide accurate inventory data to support management reviews and operational decision‑making. Support internal, external, and regulatory audits by providing documentation, system reports, and responses as required.Master Data & Control DisciplineValidate inventory‑related master data elements impacting stock integrity, including UOM, batch rules, and expiry parameters, and elevate inconsistencies. Support continuous improvement by identifying opportunities to strengthen inventory controls, reduce manual workarounds, and improve data accuracy.Qualifications & Skills Education & ExperienceA diploma, Bachelor’s degree or equivalent professional qualification is preferred. 3 – 6 years of proven experience in inventory control within pharmaceutical, food, FMCG, or regulated distribution environments. Hands‑on experience working in warehouse or distribution centre operations with batch‑ and expiry‑controlled products.Technical & Functional SkillsWorking knowledge of ERP and WMS systems, preferably Microsoft Dynamics. Strong understanding of inventory control principles, FEFO, FIFO, batch tracking, and expiry management. Ability to analyse stock variances, reconcile data, and identify root causes. Proficiency in Microsoft Excel and basic reporting tools.Soft Skills & CompetenciesHigh attention to detail with a disciplined and structured working approach. Strong coordination and follow‑up skills across warehouse, supply chain, quality, and finance teams. Clear and professional communication skills, both verbal and written.
