Senior Personal Assistant

Job Description: The Personal Assistant to the CEO and Chairman will providehighlevel administrative support to the companys CEO and Chairman.This role requires discretion attention to detail the ability tomeet tight deadlines and impeccable organizational skills. KeyResponsibilities: Manage and maintain schedule appointments andtravel arrangements Act as the point of contact between theinternal/external clients Verification of documents and chequesprior to management signatures Handle confidential documentsensuring they remain secure Prepare and edit correspondencecommunications presentations and other documents Manage andorganize meetings and events Record transcribe and distributeminutes of meetings Monitor screen respond to and distributeincoming communications Liaise with internal staff at all levelsInteract with external clients and stakeholders Coordinateprojectbased work Managing monthly claim expenses Timely payment ofmonthly credit cards utility and mobile bills Maintenance of thecars renewal fines services etc Managing account balance and onlinebanking transfers Handle medical insurance claims and appointmentsManaging office expense and petty cash Tenant coordination tenancyrenewal leasing property management maintenance etc Managing andcoordination documentation with banks Organizing Electronic andhard copy filing Coordination and documentation for alladministration and lease agreements Coordination with Accounts teamfor Vendors payment confirmation Managing Office MaintenanceVendors coordination Contract management and timely contractsrenewal. HR support as needed Recruiting Onboarding Offer lettersSalary certificates fostering a safe environment managing employeesrelations administering payroll managing compensation and benefitpackages handling disciplinary needs ensuring compliance withlabour laws and regulations
Requirements
- Proven experience as a personalassistant or similar role Knowledge of office management systemsand procedures Outstanding organizational and time managementabilities Ability to multitask and prioritize daily workloadExcellent verbal and written communications skills Discretion andconfidentiality High School degree; additional qualification as apersonal assistant or secretary will be a plus Technical Skills:Proficiency in MS Office and other office productivity toolsFamiliarity with email scheduling tools Comfortable with fastpacedand varied computer work Personal Attributes: Good communicationOrganized Efficient Time management Honest Proactive problem solverAttentive to details Flexible and adaptable Professional discretionHigh emotional intelligence
