Job Brief
The Administrative Assistant & Reception Coordinator is responsible for managing the reception area and providing administrative support to the team.
Key Responsibilities:
- Ensure the reception area is well-maintained and welcoming to visitors.
- Handle all incoming calls, determine the purpose, and forward the call to the concerned personnel.
- Manage the reception email address, prioritize tasks, and direct emails accordingly.
Administrative Tasks:
- Email scanned copies of cheques and receipt vouchers to the finance department.
- Complete hotel credit applications, forms, and documents that require Zahrawi information filling and signing from the respective approvers.
- Address technical issues to the IT department and ensure all connections are running well in the office.
- Keep scanned records of all important contracts and agreements sent from or received at the office.
- Conduct regular office inspections to ensure cleanliness, organization, and functionality, reporting to contracted teams for rectification.
- Assist and supervise the filing and distribution of documents to ensure proper handling by the office assistant.
- Attend events planning virtual meetings, bring up creative ideas, follow up with the plan, and arrange events in the office.
Requirements:
- Candidate should be willing to move to Company Visa (when applicable).
