About the Role:

We are seeking a highly skilled Supply Chain Coordinator to join our team at Talent Pal. As a Supply Chain Coordinator, you will be responsible for managing cross-functional business support, including third-party warehouse and inventory management, delivery performance optimization, and end-to-end management of purchase and sales orders.

Key Responsibilities:

  • Manage third-party warehouse and inventory, monitoring deliveries and reducing lead times.
  • Ensure that the level of service provided by our logistics partners meets our standards.
  • End-to-end management of purchase and sales orders, including identifying and highlighting stock and barcode discrepancies.
  • Support shipping within the region, ensuring timely completion and adherence to shipping requirements.
  • Manage and prioritize third-party warehouses' inbound stock and outbound order processing for the Middle East region.
  • Forecast and book weekly airfreight and sea freight volumes, working closely with the logistics team.
  • Check stock receipts and report any discrepancies to the production and retail planning team.
  • Investigate stock discrepancies and report findings to the Supply Chain 3PL Manager.
  • Manage biannual stock takes and spot counts, ensuring stock integrity is intact.
  • Prepare necessary documentation for imports and exports.
  • Monitor customs clearance, liaising with freight forwarders and customs brokers to resolve issues and assist with shipment delays.
  • Coordinate with the Master Data Management (MDM) team for prompt creation of store locations and item creation.
  • Establish and enforce data reconciliation/audit protocols to ensure accuracy and reliability in all systems.
  • Develop Policy & Procedure (P&P) documentation to ensure clarity and adherence to business guidelines.
  • Act as a checks and balances function, ensuring data matching and accuracy at all times.
  • Process all purchase orders in the transactional CORE system.
  • Generate accurate system transfers for various stock movements.
  • Track shipment status and manage necessary documentation to ensure smooth logistics and adherence to business KPIs.
  • Provide instructions to the warehouse for pick and pack, including any vassing requirements.
  • Monitor final mile delivery to ensure successful and timely completion, updating the system accordingly.
  • Communicate effectively with internal teams and request necessary allocation lists for weekly/biweekly replenishment.
  • Issue weekly packaging SOH reports, conducting weekly stock takes of packaging with the retail team, performing cycle counts at both store and warehouse, and efficiently handling writeoff processing.
  • Facilitate coordination between retail staff and the warehouse for uniform requests and dispatch thereof; oversee end-to-end sales order processing and related paperwork.
  • Issue relevant documentation and follow up with clients for shipping of goods; generate the invoice after completion of sales order processing.
  • Ensure all customer shipping requirements are completed.
  • Coordinate with warehouse office and sales teams for any clarification to ensure accurate sales order processing.

Finance/Inventory Management:

  • Identify reasons for discrepancies in invoice matching in the system (price or quantity) and escalate to the RDBS Manager for resolution.
  • Raise replacement purchase orders or debit/credit notes in the system as per the instructions from the RDBS Manager.
  • Produce insightful reports on inventory reconciliation, analyzing disparities between Oracle and AP21 systems.
  • Assist with biannual stocktake reporting, thoroughly investigating discrepancies between Oracle and AP21 systems.
  • Efficiently process carryforward styles stock adjustments, credit notes, POCN (Purchase Order Change Notice), and RTV (Return to Vendor).

Requirements:

  • University degree in Business Administration or any related quantitative fields.
  • 25 years of related experience in retail.
  • Knowledge of ORACLE (RMS, RPM, RDW) would be an added advantage.
  • Effective communicator with a collaborative approach.
  • Results-driven with the highest level of accuracy and attention to detail.
  • Experience of working within a dynamic environment, flexible approach.
  • Proactive, driven by excellence, and able to anticipate and respond to the needs of the business.
