The role of the Medical Records Supervisor involves overseeing the daily operations of the medical records department, ensuring compliance with policies regarding the release of information.

Key Responsibilities
  • Supervision: Lead and manage the Medical Records clerks, ensuring they are well-versed in the protocols for information release.
  • Record Management: Guarantee the availability of medical records by efficiently routing them to relevant departments, including admissions and emergency services.
  • File Routing: Direct analyzed patient records to the incomplete files section and ensure timely communication with doctors and nurses.
  • Register Maintenance: Maintain accurate birth and death registers, notifying the appropriate authorities to complete necessary procedures.
  • Confidentiality: Safeguard medicolegal records and uphold patient confidentiality at all times.
  • Filing System: Provide comprehensive medical records services by maintaining an effective filing and retrieval system, including the location of missing records.
  • Collaboration: Work closely with all departments involved in medical records to ensure proper maintenance and accessibility of patient files.
  • Data Management: Update the database with daily patient records for accurate transcription of medical reports.
  • Record Tracking: Regularly check and update the status of unreturned patient records, ensuring accuracy on a weekly basis.
  • Quality Control: Verify that all patient records are correctly filed and maintain departmental KPIs.
  • Performance Review: Conduct monthly meetings with the Medical Records Manager to discuss performance metrics and areas for improvement.
  • Additional Duties: Perform other related tasks as assigned by the Medical Records Manager.

A Bachelor’s degree in any discipline or equivalent experience is required for this position.
