Job Description

The role of a Senior Administration Officer at KBR, Inc. is to oversee and manage the day-to-day administrative operations of the organization.

This includes coordinating office supplies, equipment, and resources, managing office infrastructure, and organizing and maintaining office records.

  • Key Responsibilities:
  • Office and Administrative Management: Oversee the smooth functioning of the office, coordinate supplies, equipment, and resources, manage office infrastructure, and maintain office records.
  • Team Leadership and Supervision: Supervise junior administrative staff, provide guidance and training, delegate tasks, and conduct performance evaluations.
  • Scheduling and Calendar Management: Manage meeting scheduling, ensure room bookings, prioritize meetings, and resolve scheduling conflicts.
  • Communication and Correspondence: Serve as primary point of contact for internal and external communication, draft and send official communications, and ensure effective message delivery.
  • Document Preparation and Management: Prepare, review, and format reports, presentations, and other documents for senior leadership, maintain confidentiality, and ensure accurate recording and filing.
  • Financial and Budgetary Support: Assist with budgeting, financial reporting, and administrative cost tracking, process invoices, purchase orders, and expenses, and monitor expenditures.
  • Event and Travel Coordination: Organize company events, conferences, and meetings, coordinate business travel, and ensure adherence to company policies and budget constraints.
  • Policy and Procedure Implementation: Assist in developing, implementing, and enforcing administrative policies and procedures, ensure compliance, and recommend improvements.
  • Data Entry and Database Management: Maintain and update databases, systems, and records, perform data entry tasks, and assist with data management and reporting.
  • Health, Safety, and Compliance: Monitor and enforce workplace safety protocols and health standards, ensure compliance, and coordinate required health and safety training or drills.
