Job Description
The Receptionist will be responsible for providing administrative support to ensure the smooth operation of our offices. Key responsibilities include:
  • Greeting and welcoming guests as soon as they arrive at the office.
  • Connecting visitors to the concerned person.
  • Answering, screening, and forwarding incoming phone calls.
  • Maintaining the reception area, ensuring it is tidy and presentable with necessary stationery and materials.
  • Providing basic and accurate information in-person and via phone/email.
  • Distributing all documents received from Camps/fax/Courier.
  • Checking Emails and forwarding them to the relevant person or department for their information or action, if required.
  • Recording new tender and JIH enquiries received by email and forwarding the same to the estimation department.
  • Preparing Job Commencement advice upon the award of a new contract/project.
  • Preparing pre-qualification and submission documents.
  • Preparing documents for gate passes and submission.
  • Keeping track of office stationery and maintaining inventory.
  • Printing letters drafted by Project Managers and submitting them to clients via email and hard copy after management signature.
  • Coordinating with drivers for the submission of official documents.
  • Performing other clerical receptionist duties such as filing, photocopying, transcribing, and faxing.
  • Corresponding via emails, both incoming and outgoing (from time to time).
  • Monitoring calls (incoming/outgoing).
  • Distributing transmittals from Ajman, Dubai, and HCEM.
  • Monitoring log sheets for incoming and outgoing (from time to time).
  • Assisting the MD with personal works/documents.
  • Filing documents for new/ongoing projects.
  • Separating filing for filled documents given by the Contracts Manager.
  • Allocating estimation tasks given by the department (from time to time).
  • Assisting in interviews for new applicants.
  • Updating the interview tracker.
  • Assisting each staff member of every department with their concerns.
  • Managing and maintaining all controlled company documents.
  • Updating and controlling procedure documents and forms.
  • Creating and managing document hierarchy and process systems.
  • Taking charge of all document identifications, classification, and filing.

Required Skills and Qualifications
The ideal candidate should possess excellent communication and interpersonal skills, with the ability to work effectively in a team environment. A high school diploma or equivalent is required, with experience in a similar role being an asset.
