Job Summary

We are seeking a highly organized and detail-oriented Executive Assistant to provide administrative support to the Director of Finance at the American University of Sharjah.

Key Responsibilities
  • Calendar Management: Manage and maintain the Director of Finance's calendar, schedule appointments, and coordinate meetings.
  • Meeting Preparation: Prepare and organize materials for meetings when required.
  • Communication: Handle all incoming communications, prioritize emails, and draft letters when necessary.
Administrative Functions
  • Audit Requirements: Prepare audit requirements, letters, and confirmations for banks and vendors.
  • Bank Communications: Communicate with banks and prepare bank letters to ensure all information is updated regularly.
  • Government and External Stakeholder Relations: Be the key contact with government entities and external stakeholders in matters related to the Finance department.
  • Purchasing: Be responsible for all purchasing requirements for the Finance Department.
  • Student Accounts: Assist the student accounts office during registration (answer calls, prepare letters, meet parents, reply to emails).
  • AUS Etisalat Account: Manage the AUS Etisalat account and be the main contact with Etisalat for all AUS requests.
  • New Staff Onboarding: Assist new staff to get all required access and office requirements.
  • Telephone Extension Billing: Manage the AUS online telephone extension billing system.
  • Accounts Payable: Assist the accounts payable during the year-end closing period.
  • Financial System Training: Provide financial-related system training for new staff.
