Job Description:

This role involves providing administrative support to the Human Resources department in various areas, ensuring smooth day-to-day operations.

Main Responsibilities:

  • Acknowledge employment requests within a timely manner, typically 48 hours.
  • Respond personally to every applicant's application, maintaining professionalism and efficiency.
  • Manage applicant correspondence and set up interviews on behalf of management, fostering effective communication.
  • Distribute CVs to Heads of Department and follow up, ensuring prompt action.
  • Provide a final response to every applicant regarding their employment request.

Recruitment Management:

  • Post all vacancies on the Kempinski recruitment website.
  • Maintain the hotel page of the recruitment website, ensuring it is up-to-date and well-organized.

Onboarding Process:

  • Welcome new joiners personally and complete necessary paperwork efficiently.
  • Coordinate new joiner starting dates with respective HODs and the Training department, ensuring seamless integration.

Administration and Maintenance:

  • Ensure every employee has a complete employee file.
  • Maintain accurate employee and payroll data in systems.
  • Track vacation and sick leave for employees.
  • Monitor TTTS (Training, Teamwork, Timekeeping, and Team Spirit) for employees.
  • Track employee anniversaries and provide anniversary gifts and cards personally handed over by the Head of Department, Hotel, and/or General Manager.

Exit Procedures:

  • Conduct an exit interview with every leaver.
  • Issue an employment certificate to every leaver respecting a notice period on their last working day.

Additions and responsibilities may be incorporated as needed, aligned with business objectives and hotel requirements.
