Position: Senior IT Procurement Officer

Location: Abu Dhabi

Role Overview:
  • Oversee IT capital and operational expenditures, providing support to other procurement professionals across various categories.
  • Responsible for the creation and management of IT fixed assets.
  • Develop and implement processes for IT contract service and maintenance management, coordinating with the IT Department.
  • Monitor operational consumption and liaise with internal departments to achieve established targets.
  • Manage the processing cycle for all types of procurement requests.
  • Ensure quality assurance of all documentation.
  • Maintain error-free processing.
  • Achieve satisfactory audit ratings with no significant findings.
  • Foster internal relationships within the department, particularly with the IT team.
  • Support the development and training of direct report employees.
Key Responsibilities:
  • Coordinate with internal stakeholders and procurement personnel regarding delivery timelines.
  • Track, measure, report, and evaluate service performance.
  • Procure IT equipment and services, ensuring necessary approvals are obtained prior to order placement.
  • Prepare tender documentation in collaboration with the IT Department.
  • Act as a backup for IT inventory management and other capital expenditure procurement officers.
  • Ensure adherence to turnaround times.
  • Establish and maintain organized files for reference and audit purposes.
  • Ensure compliance with target delivery dates.
  • Close all open transactions in accordance with workflow processes and update records promptly.
  • Maintain robust controls across all departmental functions and keep department heads informed of any issues.
  • Provide daily supervision and support to the team regarding ERP setup.
Documentation and Process Management:
  • Take ownership of maintaining and updating documented processes related to job functions.
  • Engage fully in managing supplier sourcing, contract execution, and approvals. Review and negotiate supply contracts and terms.
  • Ensure compliance with contractual terms and conditions, involving legal counsel when necessary.
  • Consolidate high-value contracts to achieve global contract consolidation and influence cost savings.
  • Support the implementation of new contracts and supplier changes, ensuring effective handover and understanding of new terms.
  • Conduct sourcing analytics and supplier research, managing the overall supplier qualification process.
  • Facilitate the IT sourcing process within the ERP framework, ensuring appropriate business involvement at all stages.
  • Assist in developing contract and supplier engagement processes, including prequalification and tender negotiations.
  • Ensure that RFPs/RFQs are issued, and prepare bid analysis summaries post-opening.
  • Collaborate with procurement, finance, and IT teams to enhance best practice processes.
Required Skills and Experience:

Minimum of 5 years of relevant experience.
