Job Description

To support the procurement team by assisting in the procurement process, maintaining records, and ensuring the timely and cost-effective acquisition of goods, materials, and services.

  1. Source Sourcing: Assist in identifying suitable sources of supply for goods, materials, and services.
  2. Quotation Management: Obtain quotations from suppliers in response to requests and specifications received from various departments.
  3. Purchase Order Issuance: Issue purchase orders (POs) to approved suppliers.
  4. Supplier Communication: Follow up on supplier sales orders and acknowledgments to ensure accuracy and timely processing.
  5. Order Confirmation: Confirm supplier POs with line managers before dispatch and obtain order acknowledgments from suppliers.
  6. Delivery Updates: Maintain regular communication with suppliers, particularly regarding delivery schedules and updates.
  7. Record Maintenance: Maintain accurate records of all customer purchase orders (POs) received.
  8. Invoice Issuance: Ensure the prompt issuance of invoices immediately after goods or services are delivered.
  9. Material Sourcing: Assist in sourcing materials, equipment, and supplies at the best possible price while considering factors such as quality, quantity, and delivery requirements.
  10. System Familiarization: Develop and maintain a good working knowledge of the company's procurement system to facilitate efficient procurement processes.
  11. Vendor List Management: Maintain an approved vendors and supplier list, ensuring it is up to date and compliant with company policies.
  12. Documentation: Oversee the completion of all documentation and records related to dispatch and procurement.
Requirements
  • Organizational Skills: Strong organizational skills and attention to detail.
  • Communication Skills: Excellent communication and interpersonal skills.
  • Teamwork: Ability to work effectively in a team and collaborate with various departments.
  • Procurement Knowledge: Familiarity with procurement processes and systems is an advantage.
  • Education: Bachelor's degree (Bachelor's degree in engineering is a plus).
  • Experience: 2 to 3 years of experience in a similar role.
  • Software Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Regulatory Knowledge: Knowledge of relevant laws, regulations, and best practices in procurement is a plus.
