**Overview of the role**
Provision of quality services and ensures that document management & general administration is in accordance with the approved guidelines and standard office procedures. To make sure and maintain that all the information in the system are always up to date and can be easily retrieved as and when required.
**What you will do**
**Technical**
- Quality checks the documents for incoming, outgoing & circulation thereof.
- Attend to administrative requests from project development, commercial and other departments and ensure that the entire request is being actioned on time.
- Uploading internal commercial documents i.e Payment Recommendations, Contract Approval Forms, Budget approval forms, Request for Change forms and other documents in GIAMS, PM WEB, Projectwise, & Docusign and ensure that the information is accurate and up to date.
- Make sure that physical filing and e-filing is always up to date and can be easily retrieve as and when required.
- Assist on common clerical activities including filing, photocopying, scanning,, stamping of contracts, distribution of all communication viz. General Correspondence, & Commercial Documents.
- Assist in monitoring the maintenance and upkeep of all office equipment viz. printers, fax machine & photocopier.
- Coordinate with external printing company staff assigned in AFGRE office for all reprographic requirements.
**People**
- To proactively engaged in all pertinent document control related issues through communication and coordination with the Project Team, Function Managers, other departments and external customers.
**Process**
- To implement & administer the approval process of Commercial documents using GIAMS, PM Web, docusign and other systems that are already in placed.
**Customer**
- Provide quality services to the Internal customer and ensure timely delivery was achieved.
**Required Skills to be successful**
- Knowledge of document administration process, standard office procedures & basic computer skills. A proficiency will be beneficial.
- At least 3-5 years related work experience in administration or clerical office works having good knowledge in using Microsoft Office tools.
**What equips you for the role**
- Majority of the experience must be in Administration Management and clerical works.
- Excellent communication skills
- fluency in English is a must
- Proficient in MS Office
