Assistant Project Manager

**DUTIES & RESPONSIBILITIES**:
**Project Coordination and Administrative Support**:
- Assist the Project Manager in preparing and maintaining project schedules, timelines, and deliverables.
- Coordinate with various design disciplines to ensure the smooth progress of stage submissions.
- Organize and maintain project documentation, including drawings, contracts, and reports.
- Schedule meetings, prepare agendas, and document minutes for project discussions.
- Gather information required for each project and create project files, ensuring all information is kept on the company server.
- Collaborating with clients, contractors, and consultants to align expectations and deliverables.
- Assisting in resolving conflicts and addressing concerns from various stakeholders.
- Assisting the PM in tracking project budgets and financial documentation.
- Managing resource allocation and ensuring materials and resources are available as needed.
**Communication and Stakeholder Assistance**:
- Support communication between the Project Manager, clients, consultants, and stakeholders.
- Assist in drafting and organizing formal project correspondence, including client feedback and technical issues.
- Follow up on responses to ensure timely communication of stakeholder requirements.
- Respect decision-making boundaries and know when to escalate issues to the Project Manager.
**Documentation and Quality Control**:
- Assist in preparing and managing project documents, including quality assurance reports and project execution plans.
- Help ensure project compliance with applicable codes, policies, and performance standards.
- Conduct preliminary reviews of design submissions and compile necessary information for internal quality checks.
- Compiling design submissions and ensuring they are complete before submission deadlines.
**Design and Change Management Support**:
- Assist the project team in reviewing technical comments and identifying suitable solutions.
- Compile and submit design documents while ensuring all stakeholder requirements are met.
- Support in analyzing client change requests, including conducting feasibility checks and documenting change requests.
**Reporting and Tracking**:
- Prepare project progress reports and maintain accurate records of milestones.
- Track key deliverables and update internal stakeholders on project status.
- Collect data, analyze it, and assist project managers in setting objectives and project details.
- Perform administrative tasks, such as filing documents/templates, weekly and monthly reports, and scheduling meetings as needed.
QUALIFICATIONS:
- Bachelor's degree in Architecture / Project Management
- with at least 3 relevant years of experience
- Familiar with tools such as AutoCAD, Revit, and project management software (e.g., Primavera, MS Project)
