**Position Overview**:
**Key Responsibilities**:
- **Document Management**:
- Maintain a comprehensive document control system for all project-related documentation, including drawings, specifications, contracts, reports, and correspondence.
- Organize and categorize documents according to project phases, types, or other relevant criteria.
- Ensure all documents are accurately named, numbered, versioned, and stored in appropriate folders or databases.
- **Document Control Processes**:
- Develop and implement document control procedures to streamline workflows and ensure consistency across the project team.
- Monitor document submission, review, approval, and distribution processes to ensure timely completion and adherence to project schedules.
- Track the status and progress of documents, following up on outstanding items and resolving discrepancies or issues as needed.
- **Quality Assurance**:
- Conduct regular audits and reviews of project documents to verify compliance with established standards, specifications, and contractual requirements.
- Identify and rectify errors, inconsistencies, or omissions in documentation, collaborating with project stakeholders to resolve discrepancies.
- **Communication and Collaboration**:
- Facilitate communication and collaboration among project team members, subcontractors, consultants, and other stakeholders regarding document-related matters.
- Provide support and guidance to users on document control procedures, software tools, and best practices.
- Serve as a point of contact for document-related inquiries, requests, or issues, responding promptly and professionally.
- **Technology Utilization**:
- Utilize document management software or systems to manage electronic documents efficiently.
- Maintain proficiency in relevant software tools and technologies, staying abreast of updates and enhancements that may improve document control processes.
- **Risk Management**:
- Implement measures to safeguard confidential or sensitive information contained in project documents, ensuring compliance with data protection and security protocols.
- Maintain backups of critical documents and establish contingency plans for document recovery in case of data loss or system failure.
**Qualifications and Skills**:
- Bachelor’s degree in a relevant field such as construction management, engineering, or business administration.
- UAE National with valid Emirates ID & Family book.
- Proven experience as a Document Controller in the construction industry or a related field.
- Familiarity with document control procedures, standards, and regulations applicable to the construction sector (e.g., ISO 9001, AS9100, ISO 27001).
- Proficiency in document management software and Microsoft Office Suite (e.g., SharePoint, Procore, Aconex, Documentum).
- Strong attention to detail, organizational skills, and ability to multitask in a fast-paced environment.
- Excellent communication (both Arabic & English), interpersonal, and problem-solving abilities.
- Knowledge of construction terminology, processes, and industry-specific documentation requirements.
- Certification in document control or records management (e.g., Certified Document Controller) is advantageous but not essential.
