The IP Assistant, under the supervision of the IP Specialist, plays a crucial role in ensuring the smooth operation of intellectual property (IP) management processes. This position involves maintaining the integrity of the IP database, facilitating communication with regional offices, managing correspondence, and coordinating administrative tasks. The IP Assistant acts as a liaison between various stakeholders, upholding confidentiality and compliance with data protection regulations.
- **Key Responsibilities**:_
**Database Maintenance**:
- Docket new instructions into the IP system.
- Save instructions to the server and update data.
- Upload documents into the IP system and oversee electronic docketing.
- Monitor IP system reminders to ensure timely follow-ups on all IP matters.
**Communication**:
- Liaise with regional offices and IP Specialist/Regional Director.
**Instruction Confirmation**:
- Confirm receipt of instructions sent to associates.
- Ensure execution of instructions by associated/branch offices.
**Document Management**:
- Confirm receipt of original documents, scan, and upload to the IP system.
- Send reports and original documents to clients/associates as required.
**Report Preparation**:
- Prepare and send various reports to clients, automated where possible.
- Reports include notices, certificates, oppositions, and legal documents related to IP matters.
**Collaboration and Coordination**:
- Collaborate with other departments to optimize workflow efficiency.
- Coordinate with IT Department for IP system upgrades/issues.
**Confidentiality and Compliance**:
- Maintain confidentiality of sensitive information per data protection regulations.
**Administrative Support**:
- Assist Managing Director/Regional Director with administrative tasks as needed.
**Invoice Verification**:
- Check accuracy of invoices before sending with reports.
- **Qualifications and Skills**:_
- Bachelor’s degree in a related field preferred.
- Proven experience in administrative support roles, preferably in IP or legal settings.
- Strong organizational and multitasking abilities.
- Excellent communication skills, both written and verbal.
- Attention to detail and accuracy in data entry and document management.
- Proficiency in Microsoft Office Suite and familiarity with IP management systems.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Team player with the ability to work independently when required.
