As the PRO Officer, you will ensure that all employees joining the organization comply with UAE Government regulations and employment laws. You will work and have full responsibility for all Labour law related matters. You will ensure documents are completed and received on time and ensure visas are approved. You will liaise with the relevant government departments with regards to visas, licenses and sponsorship. Also, responsible for providing support in the various human resource functions, which include recruitment, staffing, training and development, performance monitoring and employee counselling. Responsibilities will also include, but are not limited to:
- Collect and provide periodical updates from the government authorities on all Labor and immigration rules to keep the company abreast of the changes in the rules and procedures
- Assist the Visa Department to submit, follow-up and collect all new employment and business visas for clients and employees. Ensure that the visas are processed on a timely manner to support the business.
- Renew, update and maintain all employees’ visas, insurance, labor cards, and labor contracts in a timely manner to ensure that company’s records are up-to-date in the labor and Immigration Departments
- Deal with general enquires regarding PRO functions promptly and efficiently to enhance the level of department service
- Provide service, support and assistance to new and existing clients & employees on their requirements such are driving license, car registrations, and office leasing and legal requirements to ensure that PR services are provided as required
- With Operation department renew, update and maintain the trade licenses and other government certificates of all company’s legal entities in the UAE to ensure that the documents are up-to-date
- Obtain visas from other Embassies in UAE for staff members, clients, for their business travel
- To submit required documentation to the banks and process bank transactions as advised by the Finance Manager
- Assist in company errands when required to
- Represent the Company in Government Authorities, Immigration, Labour departments and support the Operation department with enquiries concerning Labour and Immigration matters.
- Ensure all paperwork is submitted to the necessary government authorities for approval and is processed within the agreed time-lines
- Ensure all PRO activities carried out meet the company policies and any legal and regulatory requirements.
- Keep up to date with any relevant information relating to the job description
- Conducts any researches may require to ensure Customer Service satisfactory and sales improvement of the company
- Assistance with any tasks of Operations Department, and other dept. when required and necessary
- Promotes highly positive and efficient team work, coordination and cooperation with the whole team
- Record Management - update visa administration information
- Submit documents for Visa administration and Work permits
- Submit documents for Commercial and Trade Licenses business requirements
- Advise Management of best alternative work permit activities for staff in the processing of Visas
- Provide continuous advice in regards to the new rules in the governmental departments.
- Provide continuous update in regards to the developing the visa process and facilitating with the governmental departments
- Providing Visa Case Study on every visa type individually
- Providing PRO Daily Report for the update of recruitment report.
- Submit documents to the Post Office or Labour office - Visa submission
- Follow up and obtaining the Labour Office Approval
- Paying Labour Office Fees / Change of status Fees / Transfer Visa Fees / Relative Labour Card Fees/ Paying Bank Guarantees and will be responsible for all money transactions related to visa by coordinating with Management & Accounts team.
- Visiting various external departments e.g. Embassies, Traffic, Du, Banks etc.
- Advising & arranging Medical Tests, PCR Test, Biometric etc. for schedule
- Provide support to supervisors and staff to develop the skills and capabilities of staff
- Coordinate staff recruitment and selection process in order to ensure a timely organized and the comprehensive procedure is used to hire staff
- Provide information and assistance to staff, supervisors and work-related issues
- Manage Employee personnel files & Update employee files/records and HR database
- Manage and updating all information and ensuring that all processes are working properly
- Manage all the daily requests from employees and PRO work
- Provide all the HR data’s and reports as required, in coordination with the finance department
- Responding to and promptly following up on queries on Visa / Labor / Passport related matters.
**Requirements**:
- Bachelor’s Degree/Master’s Degree/MBA
- Minimum 2-4 years of experience with demonstrable knowledge of all PRO functions
- Proficiency in oral and written English language
