Front Desk Receptionist

**Purpose**: The primary role involves greeting visitors, parents, students, and staff, answering inquiries, and ensuring efficient communication within the school premises. This position requires strong organizational skills, excellent communication abilities, and a friendly demeanor to create a welcoming environment. Receptionists are expected to reflect the ethos of the school through their willingness to help out with administrative tasks as laid out in, but not limited to, the tasks below.
**Front Desk Management**:
- Greet visitors, parents, students, and staff in a professional and friendly manner.
- Answer incoming calls, transfer calls to appropriate personnel, and take messages accurately.
- Answer electronic mail efficiently and accurately.
- Maintain a clean and organized reception area.
**Administrative Support**
- Act as the first point of contact for enquiries and telephone calls coming into the school.
- Assist in various administrative tasks such as data entry, filing, photocopying, and document preparation.
- Manage student attendance records and assist in student check-in and check-out procedures.
- Coordinate appointments and schedules for school activities, meetings, and parent-teacher conferences.
- Assist with the distribution of school forms, newsletters, and other relevant documents.
- Diverting parents and visitors to the registration, PRE, and cashier office as required.
- Ensure parents are taking appointments from the person meeting before coming to school.
- Liaison between School’s third party service providers and parents
**Communication and Liaison**
- Act as a liaison between parents, teachers, students, and administrative staff, conveying messages accurately and promptly.
- Provide information and assistance regarding school policies, procedures, and events.
**Student tardiness and early dismissals**
- Register all the tardy students on the system, issue a late note, and inform the responsible Head of Pastoral Care.
- Use your judgment to avoid early dismissals as much as possible.
- Inform the responsible Head of Pastoral Care about any early dismissals and ensure students are not leaving the school during school hours without an early dismissal slip.
- Ensure that the Bus Coordinator is informed of all the early dismissals taking bus transport.
**Safety and Security**:
- Monitor access to the school premises, ensuring visitors sign in and follow established safety protocols.
- Collaborate with school security personnel to maintain a secure environment.
- Assist in maintaining the School’s daily fire register including signing in/out of students and staff.
- Act as the first point of contact for the School’s missing child and emergency response policies.
- Ensuring parents or unauthorized persons are not entering school and students are not going out of the school without permission during school hours.
**Miscellaneous**
- Keeping up to date with all policies and processes and ensuring they are followed by all the visitors and staff.
- Support with PRE, Registration desk, and Cashier as and when needed, while ensuring not to leave the reception desk unattended.
- Collaborate with administrative staff to support various school projects and events.
- Assist with special projects or tasks assigned by school administration.
- Additional duties as assigned.
