A Procurement Assistant plays a vital role in assisting the Procurement Manager or department in the procurement process, including sourcing suppliers, obtaining quotes, processing purchase orders, and maintaining procurement records. Provide administrative support to ensure the timely and cost-effective acquisition of goods and services required by the organization.

**Key Responsibilities**:

- **Supplier Management**:

- Assist in identifying and evaluating potential suppliers or vendors.
- Maintain supplier databases and contact lists.
- Communicate with suppliers regarding quotes, pricing, and delivery schedules.
- **Purchase Order Processing**:

- Assist in preparing and processing purchase orders (POs) and contracts.
- Ensure accuracy and completeness of POs, including item descriptions, quantities, and pricing.
- Track POs to ensure timely delivery and receipt of goods or services.
- **Inventory Control**:

- Assist in monitoring inventory levels and stock replenishment.
- Coordinate with warehouse or inventory management teams to ensure availability of goods.
- Assist in conducting periodic inventory audits and reconciliations.
- **Documentation and Record Keeping**:

- Maintain procurement files and documentation, including purchase orders, contracts, and supplier agreements.
- Ensure compliance with procurement policies and procedures.
- Organize and maintain electronic and physical procurement records.
- **Vendor Communication**:

- Act as a point of contact for vendors and suppliers, handling inquiries and resolving issues.
- Communicate with vendors regarding order status, delivery schedules, and discrepancies.
- Assist in negotiating terms and pricing with suppliers, under the guidance of the Procurement Manager.
- **Data Analysis and Reporting**:

- Compile and analyze procurement data, such as spending trends, vendor performance, and cost savings.
- Prepare reports and presentations for management review.
- Assist in identifying opportunities for process improvement and cost optimization.
- **Compliance and Documentation**:

- Ensure compliance with procurement policies, procedures, and regulations.
- Assist in obtaining necessary documentation and approvals for purchases.
- Support internal and external audits by providing procurement-related documentation and information.

**Qualifications**:

- Bachelor's degree in business administration, supply chain management, or a related field (or equivalent experience).
- Previous experience in procurement, purchasing, or administrative support role preferred.
- Familiarity with procurement processes, principles, and best practices.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and procurement software. preferable in SAP.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to work independently and prioritize tasks in a fast-paced environment.

Ability to commute/relocate:

- Muscat: Reliably commute or planning to relocate before starting work (preferred)

**Education**:

- Bachelor's (preferred)

**Experience**:

- five: 3 years (preferred)
