Administrative Assistant

As the role requires that you will be working and reporting to the Administration Manager, your daily schedule and responsibilities will be as per the work charted out by the Administration Manager. We place a great deal of trust and empowerment in to you as a person. As discussed, the job description will be a fluent changing one as our Council is still developing.
**KEY RESPONSIBILITIES (includes but not limited to the following)**
- Plan and coordinate administrative procedures and systems and devise ways to streamline processes
- Provide executive & administrative support to the Admin Manager by assisting with scheduling, making arrangements, and handling logistics for meetings, webinars, and conference calls.
- Ensure a smooth and adequate flow of information within the Council to facilitate other business operations
- Create presentations and other management level reports and correspondence.
- Create, compile and regularly update association membership directory.
- Assist with events management and coordination
- Prepare agendas and take minutes of meetings.
- Distribute invitations and confirm meetings
- Make travel arrangements, including, but not limited to booking flights, cars and making hotel reservations as needed.
- Prepare and courier the membership certificates or any other shipments required to members
- Manages and coordinates activities of professional or trade association in accordance with established policies to further achievement of goals, objectives, and standards of profession or association.
- Ensure sponsorships and new membership queries are adequately handled in a timely fashion.
- Preparing all the monthly documents required to the bookkeeping company with the assistance of the accounting team and the treasurer.
- Preparing and processing bills and invoices for payment and ensuring that all accounts payable are cleared within a reasonable time
**REQUIREMENTS**
- Female only
- Bilingual English/Arabic speaker is a must
- Attention to detail
- Ability to multitask and deadline oriented
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel and PowerPoint)
**Salary**: AED3,000.00 - AED4,000.00 per month
**Experience**:
- administrative assistant: 2 years (preferred)
