As an Events & Groups Coordinator, you will be responsible for managing Group, Events, & Social Events requests, serving as an intermediary between the customer and the commercial and operational areas.

Responsibilities will include, but not be limited to:

- Receive groups and event requests and keep up to date with the hotel's even output.
- Sell social events for our F&B outlets - family dinners, weddings, birthdays, graduation, etc.
- Perform monthly reports and update closing information groups and events.
- Interact permanently with the Account Managers, Sales managers, Reservations, Front Desk, Kitchen, and other Departments.
- Ensure that all client requests are answered efficiently and with agility
- Perform site inspection of the hotel and facilities
- Prepare BEOs for the kitchen team and host weekly BEO meetings for department heads. Work closely/communicate with the kitchen & banquet team to ensure successful events. Effectively communicate group needs with other departments.
- Draw up contracts for groups and events, update payment instructions, and enter important information relevant to the event.
- Obtain (and enter) group blocks into the hotel property management system; enter rooming lists prior to reservation cutoff date, and coordinate with the Front Office team to make sure any special billing arrangements are entered into the PMS system correctly.
- Update arrival, departure, meal plan, cutoff date, and cancelation policy and follow up with the Sales Managers for any concerns, challenges, or support needed.
- Must be effective in handling problems, including anticipating, preventing, identifying, and solving problems as necessary.
- Ad-hoc duties - unexpected moments when we have to pull together to get a task done.
