Admin Accountant

**Administrative Duties**:
- **Office Management**:
- Oversee daily operations of the office.
- Maintain office supplies and inventory, ensuring the office is well-stocked.
- Manage office equipment and coordinate repairs or replacements when necessary.
- **Documentation and Filing**:
- Maintain and organize physical and digital records.
- Ensure proper filing of important documents such as contracts, invoices, and correspondence.
- **Scheduling and Coordination**:
- Arrange meetings, appointments, and travel arrangements for staff.
- Coordinate and schedule office activities, events, and conferences.
- Manage the calendars of senior management, ensuring efficient time management.
- **HR Support**:
- Assist with HR-related tasks such as maintaining employee records, onboarding new employees, and processing payroll.
- Handle employee queries and coordinate with HR on related matters.
- **Client and Vendor Communication**:
- Serve as a point of contact for clients and vendors.
- Manage client and vendor relationships, ensuring smooth communication and coordination.
- Handle inquiries and resolve issues promptly.
**Accounting Duties**:
- **Bookkeeping**:
- Maintain accurate and up-to-date financial records.
- Record daily financial transactions including purchases, sales, receipts, and payments.
- Reconcile bank statements and ensure the accuracy of financial data.
- **Accounts Payable and Receivable**:
- Manage the accounts payable and receivable processes.
- Prepare and process invoices, track payments, and follow up on overdue accounts.
- Ensure timely payment of bills and invoices.
- **Financial Reporting**:
- Prepare financial statements, including balance sheets, income statements, and cash flow reports.
- Assist in the preparation of budgets and forecasts.
- Generate financial reports as required by management.
- **Taxation and Compliance**:
- Assist with tax preparation and filing, ensuring compliance with local tax laws and regulations.
- Maintain accurate records for audits and assist during audit processes.
- Ensure all financial activities comply with legal and regulatory requirements.
- **Payroll Management**:
- Calculate and process payroll for employees.
- Handle payroll taxes, deductions, and benefits administration.
- Ensure timely disbursement of salaries and other employee compensations.
- **Expense Management**:
- Track and manage office expenses, ensuring they stay within budget.
- Review and approve expense reports submitted by employees.
- Identify cost-saving opportunities and implement efficient financial practices.
**General Responsibilities**:
- Ensure confidentiality and security of financial and administrative information.
- Stay updated with changes in accounting and administrative practices.
- Provide support to management in decision-making processes by offering financial insights.
- Continuously improve office and financial processes for efficiency.
This role requires a strong understanding of both administrative processes and accounting principles. The individual should be organized, detail-oriented, and capable of multitasking to handle the varied responsibilities effectively.
