**Duties and Responsibilities**:

- Interact with clients with professional and personal manner
- Serves patients by greeting and helping them, scheduling appointments, and maintaining records and accounts.
- Welcomes patients and visitors in person or on the telephone, and answering or referring inquiries.
- Optimizes patients’ satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone.
- Keeps patient appointments on schedule by notifying provider of patient’s arrival, reviewing service delivery compared to schedule, and reminding providers of service delays.
- Comforts patients by anticipating patients’ anxieties, answering patients’ questions, and maintaining the reception area.
- Ensures availability of treatment information by filing and retrieving patient records.
- Maintains patient accounts by obtaining, recording, and updating personal and financial information.
- Obtains revenue by recording and updating financial information, recording and collecting patient charges, controlling credit extended to patients, and filing, collecting, and expediting third-party claims.
- Maintains business office inventory and equipment by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, verifying receipt of supplies, and scheduling equipment service and repairs.
- Helps patients in distress by responding to emergencies.
- Protects patients’ rights by maintaining confidentiality of medical, personal, and financial information.
- Maintains operations by following policies and procedures, reporting needed changes.
- Contributes to team effort by accomplishing related results as needed.
- Built connections on behalf of the company and contribute to the organization’s

marketing campaigns.
- Customers’ needs and expectations are identified and addressed
- Customers’ feedback is acted upon, monitored, and analyzed
- Queries/complaints are attended and handled in a timely and appropriate manner
- Social media information and official website are monitored
- Conduct facility rounds and provide feedback/ take action where needed
- Must be visible and available in the outpatient department to render a service to the

patients/clients
- VIP clients assisted in their visit
- Patient satisfaction survey compiled and sorted. Concerns or complaints arising from

the survey are dealt with accordingly
- Mutually beneficial relationships are built and maintained with colleagues and multidisciplinary

team
- Evaluating all documents to ensure that appropriate information has been obtained for

billing purposes
- Communicating insurance office for authorization request
- Develop and maintain a working knowledge of current Insurance regulations, products

and services offered by the facility
- Building and maintaining relationships with locations, patients, and referral sources
- Ensure confidentiality of patient’s personal information
- Perform any other duties or responsibilities assigned by Front Office Manager or Division Head
- Creating content, including text posts, video and images for use on social media.
- Interacting with customers and dealing with customers’ enquiries.
- Developing new social media strategies and campaigns.
- Managing a budget to be spent on promoting social media posts and (PPC) advertising.
- Keeping track of data and analysing the performance of social media campaigns.
- Collaborating with colleagues from across marketing departments to ensure branding is consistent.
