**Job Overview**:
As a Team Leader, you will be responsible for overseeing the daily activities of the front desk, managing patient interactions, and providing leadership and training to the receptionist staff to maintain a high level of customer service and operational efficiency.

**Key Responsibilities**:

- **Team Leadership & Supervision**:
Lead, supervise, and support a team of receptionists, ensuring that all duties are performed accurately and efficiently. Provide guidance, mentorship, and conduct regular performance evaluations for team members.
- **Training & Development**:
Train new receptionist staff on clinic policies, procedures, customer service standards, and software tools. Ensure that the team is up-to-date with any changes in procedures or clinic services.
- **Scheduling & Workflow Management**:
Oversee the appointment scheduling process to ensure efficient patient flow. Monitor daily schedules and adjust as needed to optimize patient wait times and clinic efficiency.
- **Patient Interaction & Customer Service**:
Ensure that patients are greeted warmly and professionally, their check-in process is smooth, and all questions or concerns are addressed in a timely and courteous manner. Act as a point of escalation for any patient issues or complaints that the receptionist team is unable to resolve.
- **Operational Support & Coordination**:
Work closely with other clinic departments (e.g., medical staff, billing, management) to ensure seamless coordination of services. Handle communication between patients and healthcare providers, ensuring messages are relayed accurately and promptly.
- **Administrative Oversight**:
Ensure all patient information is entered correctly into the system, including personal details, insurance information, and medical history. Oversee the maintenance of patient records and ensure confidentiality according to HIPAA guidelines.
- **Quality Control & Process Improvement**:
Monitor the performance of the reception team to ensure adherence to clinic protocols, customer service standards, and best practices. Recommend improvements in workflows, processes, or procedures to increase efficiency and enhance the patient experience.
- **Billing & Insurance Coordination**:
Assist with verifying insurance details, explaining billing procedures to patients, and coordinating with the billing department to resolve issues. Ensure proper documentation for insurance claims and payments.
- **Handling Emergency Situations**:
Lead the reception team in managing patient emergencies or urgent situations with professionalism and calmness, directing patients to the appropriate medical staff and ensuring proper follow-up.
- **Reporting & Administrative Support**:
Provide regular reports to the clinic manager on team performance, patient satisfaction, and operational metrics. Assist with other administrative tasks as needed to support clinic operations.

**Qualifications**:

- High school diploma or equivalent
- Minimum of 3-5 years of experience in a healthcare reception role, with at least 1-2 years in a supervisory or team lead position.
- Strong leadership, organizational, and communication skills.
- Ability to manage multiple priorities and lead a team in a fast-paced healthcare environment.
- Proficient in using healthcare software.
- Knowledge of medical terminology, insurance verification, and patient scheduling is preferred

Pay: AED4,500.00 - AED5,000.00 per month
