We are seeking a highly organized and proactive Administrative Assistant to join our team. This role is crucial to the smooth operation of our institute, providing essential support to ensure that our students, trainers, and staff can focus on delivering and receiving the best possible education and services.

**Key Responsibilities**:

- **Daily Operations Management**:

- Oversee and manage day-to-day administrative tasks, including scheduling, coordinating classes, and ensuring the smooth running of the institute.
- Handle student inquiries and provide them with information about courses, schedules, and other relevant details.
- Assist with the enrollment process, maintaining student records, and managing course documentation.
- **Trainer Coordination**:

- Liaise with freelance trainers to coordinate their schedules and ensure they have the necessary materials and information for their classes.
- Support trainers in setting up for classes and manage any logístical needs they may have.
- **Financial Administration**:

- Manage billing, invoicing, and payment processing for courses and services offered by the institute.
- Assist in budget tracking and financial record keeping.
- **Office Management**:

- Maintain an organized and efficient office environment, including managing supplies, equipment, and inventory.
- Coordinate maintenance and repair of office equipment as needed.
- **Student Support**:

- Provide administrative support to students, including responding to queries, assisting with portfolio preparation, and managing their access to institute resources.
- Help organize student events, workshops, and portfolio days.
- **Communication**:

- Draft and distribute internal communications to staff and students.
- Assist in managing the institute’s social media accounts and content.
- **Event Coordination**:

- Assist in planning and executing events such as graduation ceremonies, workshops, and industry networking events.
- Coordinate with external vendors and partners to ensure the success of events.

**Qualifications**:

- Previous experience in an administrative role, preferably in an educational or beauty-related setting.
- Excellent organizational and multitasking skills.
- Strong communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite and basic knowledge of accounting software.
- Ability to work independently and as part of a team.
- A proactive approach to problem-solving and a high level of attention to detail.
