Document Controller

A Document Controller is responsible for all documents in a business. Daily they will scan and upload paper documents and organize them on a secure server. They access specific files when requested by different departments as well as control the flow of documents in and out of the department.
- Respond in a prompt and efficient manner to all issues
- Coordinate all activities related to the Document Control procedure, including technical documents, drawings, and commercial correspondence.
- Input document data into the standard registers ensuring that the information is accurate and up to date.
- Maintain the documents and drawings in the Document Control office under safe custody without any damage or deterioration with easy traceability.
- Maintain the files and control logs as required by the project
- Inspect the workplaces to ensure it meets the various safety requirements.
- Ensure that all departmental related documents are filed and up to date
- Investigates complaints regarding housekeeping service and equipment and takes corrective action.
- Coordinates work activities among departments.
- Examines building to determine need for repairs or replacement of toilet accessories or equipment, and makes recommendations to management
- Establishes standards and procedures for work of housekeeping staff
- Records data regarding work assignments, personnel actions, attendance, and prepares periodic reports.
- Understand all health and safety issues with regards to staff and self
- Designs and implements appropriate filing system that remains accessible at all times.
- Ensures appointments and meetings are coordinated and well informed to the concerned parties/projects
- Monitors incoming and outgoing mails, letters, submittals and delivery notes etc
- Proper record keeping for petty cash invoices
- File documents in physical and digital records
- Numbering & identification of documents
- Filing and organization of documents (both electronic and / or hardcopies)
- Maintenance of a list (register) of applicable documents
- Distribution of documents to relevant people / organization’s
- Identifying and numbering documents that come into the department or organization
- Distributing documents to the relevant people, departments or organization’s, and letting them know when they need to take action on a document as part of a process
- Preparing and updating document control procedures for the company
Required for a Facility Management
**Education**:
Bachelor
**Experience**:
- Minimum 4 year's of work experience in UAE as a Administration in Facility Management
