**Tender & Procurement Officer**
**Job description**:
- Market research in identifying new Tender opportunities and evaluating their suitability for the company including capacity to meet the deliverables.
- Analyzing Tender documentation and understanding the scope of work, specifications, and contractual terms.
- Coordinating with the relevant teams to understand the customer's requirements and develop winning bid strategies.
- Drafting and preparing Tender documents (with the help of relevant departments), including Technical and Commercial proposals.
- Collaborating with Internal departments to gather required information and ensure accurate and timely submissions.
- Assess the need for a third-party assistance and arrange quotations accordingly.
- Conducting risk assessments and preparing risk mitigation plans.
- Managing and maintaining Tender Tracker, including templates, standard responses, and pricing models.
- Reviewing and participating in the negotiation of contractual terms and conditions.
- Tracking and monitoring tender progress and ensuring compliance with deadlines.
- Collaborating with legal teams to ensure all necessary contracts, licenses, and certifications are in place. Moreover, co-ordinate with Finance on Bid Bonds.
- Once the selection is approved, The Tendering officer shall play a role in the contract awarding process. He/ She will work with the Teams or the authorized personnel to finalize the contractual agreement with the chosen bidder. This involves preparing the necessary documentation, issuing the award letter or contract, and ensuring that all parties involved are aware of their obligations and responsibilities.
- The Tendering officer shall maintain records and documentation related to the Tendering process. This includes maintaining a detailed record of all tenders received, documenting the evaluation process, and retaining copies of the final contract and associated correspondence.
- ** Identifying Potential Sponsors**:identify potential sponsors who may have an interest in supporting the organization's event or cause.
- ** Creating Sponsorship Proposals**:Once potential sponsors are identified, the Sponsorship Solicitor creates detailed sponsorship proposals. These proposals outline the benefits of sponsorship, the opportunities for brand exposure, and the potential impact of the sponsorship on the sponsor's reputation.
- ** Networking and Relationship Building**:This process involves attending networking events, meetings, and conferences to establish connections and communicate the value of the sponsorship opportunity.
- ** Pitching and Negotiating**:The Sponsorship Solicitor is responsible for pitching the sponsorship opportunity to potential sponsors. This may involve making presentations, conducting meetings, and negotiating terms of the sponsorship agreement.
- ** Managing Sponsorship Agreements**:Once sponsors are secured, the Solicitor ensures that all necessary paperwork and contracts are completed. They also ensure that the terms of the sponsorship agreement are fulfilled by both parties.
- ** Acknowledgment and Reporting**:Sponsorship Solicitors are often responsible for acknowledging sponsors publicly and ensuring they receive the agreed-upon benefits. Additionally, they may provide sponsors with reports on the impact of their sponsorship investment.
- ** Retention and Renewal**:Maintaining relationships with existing sponsors and exploring opportunities for sponsorship renewal or extension is essential for ongoing support.

- Prior experience of working in a similar role (minimum 3 Years)
- Bachelor’s Degree in relevant field
