**Company Overview**: RFLCT Creative Arts is a dedicated centre to providing enriching art workshops and fostering artistic expression within the community. We believe in the transformative power of art and its ability to inspire individuals of all ages. As we continue to expand our workshop offerings, we are seeking a passionate and dedicated Assistant to join our team.
**Responsibilities**:
- Front Desk Management: Serve as the first point of contact for visitors, clients, and participants. Greet guests warmly, ascertain the purpose of their visit, and direct them to the appropriate person or department.
- Appointment Scheduling: Coordinate and manage schedules for meetings, workshops, and events. Communicate effectively with team members and external partners to ensure a smooth flow of activities.
- Administrative Support: Provide general administrative support, including filing, data entry, and maintaining office supplies. Assist with basic office tasks to support the efficient operation of RFLCT Creative Arts.
- Guest and Participant Coordination: Assist in the coordination of guests and participants for workshops, events, and programs. Ensure they have the necessary information and support during their time at RFLCT Creative Arts.
- Event Coordination: Collaborate with the Events team to support the planning and execution of creative arts events. Assist with logistics, registration, and on-site coordination as required.
- Office Maintenance: Maintain a neat and organized reception area, creating a welcoming and professional atmosphere for visitors and staff.
- Mail and Package Handling: Receive, sort, and distribute incoming mail and packages. Coordinate outbound mail and courier services as needed.
- Communication: Maintain effective communication with team members and management, sharing relevant information and feedback.
- Confidentiality: Handle sensitive and confidential information with utmost discretion and maintain a high level of confidentiality at all times.
- Prospect and Qualify Leads: Identify potential customers and sales opportunities through various channels. Qualify leads based on their needs, interests, and fit with our products.
- Maintain CRM System: Log all sales activities, interactions, and progress with prospects and customers in our Customer Relationship Management (CRM) system. Regularly update account information to ensure accurate and up-to-date records.
- Pipeline Management: Develop and maintain a well-organized pipeline of prospects to manage and track sales progress efficiently.
- Coordinate Sales Efforts: Collaborate with other team members and departments to optimize the sales process and ensure a seamless customer experience.
**Requirements**:
- Education: A high school diploma or equivalent qualification is required.
- Experience: Prior experience as a receptionist or in customer service is desirable but not mandatory. We welcome motivated individuals with a friendly and professional demeanour.
- Communication Skills: Excellent verbal and written communication skills in English are essential. Proficiency in other languages is a plus.
- Interpersonal Skills: Strong interpersonal skills with a friendly and approachable demeanour, capable of building positive relationships with visitors and team members.
- Organization and Multitasking: Effective organizational and multitasking abilities to manage various tasks and prioritize responsibilities.
- Tech Savvy: Proficiency in using basic office software, including MS Office suite (Word, Excel, Outlook).
- Flexibility: Adaptability to work in a dynamic and creative environment, and the ability to handle occasional evening or weekend events.
**Salary**: AED2,500.00 per month
