Job Description: Administrative and Account Assistant

Position Overview:
The Administrative and Account Assistant plays a crucial role in ensuring the smooth functioning of administrative and financial operations within an organization. They provide support to both administrative and accounting departments, assisting with various tasks to facilitate efficient workflow and maintain accurate financial records.

Key Responsibilities:
**Administrative Support**:

- Manage office supplies inventory and place orders when necessary.
- Schedule appointments, meetings, and conferences for staff members.
- Assist in organizing and maintaining filing systems, both electronic and physical.
- Prepare and distribute internal communications, memos, and reports as needed.
- Coordinate travel arrangements and accommodations for employees when required.
- Assist in the coordination of office events and functions.

**Account Assistance**:

- Assist in accounts payable and accounts receivable processes.
- Process invoices, expense reports, and other financial documents.
- Reconcile bank statements and credit card transactions.
- Prepare and issue checks for payments to vendors and suppliers.
- Assist in the preparation of financial reports, including balance sheets, profit and loss statements, and cash flow statements.
- Maintain accurate records of financial transactions and ensure compliance with accounting policies and procedures.
- Assist with payroll processing and related tasks, such as timekeeping and employee benefits administration

**Data Entry and Record Keeping**:

- Enter financial data into accounting software or spreadsheets accurately and in a timely manner.
- Maintain organized and up-to-date records of financial transactions and administrative documents.
- Verify accuracy of financial documents and resolve discrepancies as needed.
- Assist in the preparation of financial statements and reports for management review.

**General Support**:

- Provide general administrative support to other departments as needed.
- Collaborate with team members to achieve organizational goals and objectives.
- Perform other duties and responsibilities as assigned by supervisors.

**Qualifications**:

- High school diploma or equivalent; associate's or bachelor's degree in business administration, accounting, or related field preferred.
- Prior experience in administrative support and/or accounting roles is advantageous.
- Proficiency in Microsoft Office suite (Word, Excel, Outlook) and accounting software (e.g., QuickBooks, Peachtree).
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal abilities.
- Ability to multitask, prioritize tasks, and meet deadlines in a fast-paced environment.
- Knowledge of basic accounting principles and practices.
- Integrity and discretion when handling sensitive financial information.
- Willingness to learn and adapt to new technologies and procedures.

The Administrative and Account Assistant plays a pivotal role in ensuring the efficient operation of administrative and financial processes within the organization. By providing support to both departments, they contribute to the overall effectiveness and success of the organization.

**Salary**: AED2,500.00 per month
