About the position

The members of the Administration team at the Faculty of Business are responsible for the administration, planning and policy implementation related to their undergraduate and postgraduate (coursework and research) students, academics and other stakeholders. The team ensures that processes are administered according to academic and administrative guidelines and that the administration of processes complies with all policies and procedures of the University and works towards improving customer service for students, academics and all key stakeholders.

The position of Administrative Assistant is a key operational coordination and customer service position for the Faculty of Business. Due to the nature of the role, the position holder is expected to be highly systematic and organised in their approach to the role.

**Key Responsibilities**:

- Coordinate with academics, students and other stake holders for running of academic and student related events e.g. approvals from KHDA & TECOM, booking event location, arrange catering and prizes, designing flyers for internal promotion and advertising, etc
- Arrange and manage appointments and meetings for the Dean, management team, committees and prepare minutes of meetings when required
- Coordinate and follow-up with all academics in their task of completing course file folders every trimester
- Provide administrative support in the running of executive short courses and accreditation documentation
- Develop and maintain a good overall understanding of the work of the various administrative areas within the University
- Support and participate in student life-cycle events as required, such as orientation, enrolment and graduation
- Undertake other duties of a similar nature as reasonably required by the Line Manager

Selection criteria
- Bachelor’s Degree in an appropriate discipline
- Minimum of 2 years’ experience using student administration systems

- Expert spreadsheet (Excel) skills
- Ability to meet compliance/policy requirements
- Ability to maintain the strictest levels of confidentiality at all times
