**Key Responsibilities**:
- **Front Desk Management**: Greet clients and visitors warmly, directing them to the appropriate staff or department. Answer incoming phone calls and redirect them to the correct personnel or take accurate messages.
- **Scheduling and Appointments**: Manage appointment bookings and schedules, ensuring that all meetings are scheduled correctly and that no conflicts arise. Confirm appointments and reschedule when necessary.
- **Administrative Support**: Perform general administrative tasks such as data entry, filing, handling mail, and maintaining office supplies.
- **Client Communication**: Provide clients with information regarding services, availability, and other queries. Offer a friendly and professional environment both in-person and on the phone.
- **Records and Documentation**: Maintain accurate records of visitors, appointments, and any other relevant documentation. Assist in preparing reports as required.
- **Office Organization**: Ensure the front office area is clean, organized, and welcoming. Maintain office supplies inventory and assist in reordering as necessary.
- **Problem Solving**: Handle any client concerns or inquiries, escalating to the appropriate person when necessary.
**Qualifications**:
- Proven experience as a receptionist or in a customer service role (1-2 years preferred).
