Job Title: Procurement and Estimation Coordinator
**Job Summary**:
**Key Responsibilities: Procurement Responsibilities**:
- **Supplier Coordination**:
- Assist in identifying and evaluating potential suppliers for materials, equipment, and services.
- Maintain relationships with suppliers to ensure timely and accurate deliveries.
- **Order Processing**:
- Prepare and process purchase orders, ensuring accuracy in quantities, specifications, and delivery schedules.
- Track and follow up on orders to ensure timely delivery and resolve any issues that arise.
- **Inventory Management**:
- Monitor inventory levels and coordinate with the procurement manager to reorder materials as needed.
- Ensure that inventory records are accurate and up-to-date.
- **Documentation and Compliance**:
- Maintain procurement records, including contracts, purchase orders, and supplier correspondence.
- Ensure compliance with company policies and legal regulations in all procurement activities.
**Estimation Responsibilities**:
- **Cost Estimation Support**:
- Assist in preparing cost estimates by gathering relevant data, including materials, labor, and equipment costs.
- Collaborate with project teams to understand project scope and requirements for accurate estimation.
- **Supplier Quotations**:
- Request and collect quotations from suppliers for materials and services required for projects.
- Analyze supplier quotations to support accurate and competitive cost estimates.
- **Bid Preparation**:
- Assist in preparing bid documents, ensuring all cost-related aspects are included and accurately reflected.
- Coordinate with the estimation manager to ensure timely submission of bids.
- **Data Analysis and Reporting**:
- Compile and analyze cost data to assist in the preparation of estimates and project budgets.
- Prepare reports on procurement and estimation activities as required.
**General Responsibilities**:
- **Collaboration**:
- Work closely with the procurement and estimation teams, as well as other departments, to ensure smooth coordination of activities.
- Communicate effectively with suppliers, contractors, and internal teams to ensure alignment on project requirements.
- **Process Improvement**:
- Identify opportunities to streamline procurement and estimation processes for greater efficiency and accuracy.
- Suggest improvements to procurement and estimation practices based on industry trends and best practices.
- **Administrative Support**:
- Provide administrative support to the procurement and estimation teams, including scheduling meetings, preparing documents, and managing communications.
**Qualifications**:
- Bachelor’s degree in Supply Chain Management, Business Administration, Construction Management, or a related field.
- Minimum [5] years of experience in procurement, cost estimation, or a related role.
- Strong organizational and time management skills.
- Proficiency in Microsoft Office Suite and procurement/estimation software.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
**Preferred Skills**:
- Familiarity with ERP systems and cost estimation tools.
- Certification in procurement or estimation (e.g., CPM, CE) is an advantage.
