Office Manager

A global mining company is looking for an Office Manager for their new Dubai office.
Office Manager is responsible for performing administrative, accounting, document control and clerical duties to support business in daily operations in the Dubai Office; provide migration support to expatriate employees, arrange for their mobilization and demobilization.
**Key Responsibilities**
Medical Insurance
- Request quotation;
- Consultation about medical insurance plan;
Accommodation
- Request accommodation proposal/ market research in terms of personal requirements;
- Support if any documents are required for search;
- Opening bank account.
Emirates Entry Permit + ID process
- Organize documents legalization process for Emirates ID
- DMCC Job Offer + Contract
- Create or edit Employment contract.
Entry permit
- Initiate the payment;
Mobilization process
- Request flight and accommodation and coordinate that;
- Initiate entry to the country for new employee. Provide instruction with all necessary information.
Upon arrival - ID process
Finance supporting
- Ensuring the signing of original documents by Director;
- Arranging and maintaining of the document control activities
- Contract administration with suppliers and contractors;
- Timely processing of expense reports;
- Primary book-keeping activities
- Liaising with service providers on accounting/tax and other compliance matters
Secretarial duties
- Be a key point of contact for third parties, director and manpower activities
- Incoming/outgoing mail registration;
- Arranging visits of traveling employees and agents/consultants;
- Reception desk;
- Purchase of stationery, office supplies;
- Working with office related maintenance/rent companies.
**Qualifications**
Bachelor’s degree in business administration, office management, or related field with knowledge of level 1 accounting (data input, processing etc).
Additional professional courses and development workshops in human resources and accounting is highly beneficial. Solid knowledge of financial management (budgeting, financial reporting, expense tracking).
**Experience**
At least 10 years of previous administrative support and accounting experience
Prior experience in running DMCC offices is a plus
**Competencies**
Fluent English (verbal & written)
Proficient level of skills at Microsoft Office package
**Salary**: From AED10,000.00 per month
