**Supportive Functions**:
- The staffs are fully conversant with the Opera computer system efficiently and can allocate rooms the minimum delay experienced by the guest checking-in.
- GSA’s are aware of booking situations at all times.
- Develops the abilities are personalities of GSAs to be able to engage guests in intelligent conversation while they are engaged in front Office procedures.
- Investigate guest’s complaints and handle them promptly and efficiently.
- Co-ordinate all responses to customer inquiries / complaints, to ensure WOW recovery is exercised and tailor made responses are provided to satisfy customers.
- To frequently conduct training for staff.
- It is the responsibility of the Front Office Manager to see that room reservation status is accurate in order to achieve the maximum revenue and occupancy.
- Review and evaluate procedure manuals, job descriptions, job specifications and standard of performance for positions within his department.
- Through the Guest History System develops rapport between GSAs guests welcoming back where necessary return guests.
- Ensure that the counter is adequately staffed and never empty.
- Ensure that Registration cards are accurately filled in with all relevant details and that procedure regarding passport scanning etc. are followed.
- That all information and procedures required by CID Department is supplied and comply with any new rules and regulations.
- Provides for pre-registration where the guest is returning and the previous details can be obtained from the computer’s guest history system.
- Checks that rooms are presentable and participate with Duty Manager in random room checks to ensure standards are kept.
- Supervises the system for courtesies to guest i.e. fruits and flowers, full bar set-ups, giveaways, etc. liaison directly with Room Service and Housekeeping to ensure that:
- All such items are ready in the room on check-in.
- The proper control is exercised on such items
- All accompanying welcome letter, etc. are in the place determined by management and that they are presented to give an excellent impression.
- Regularly check all out of order room. Determine their availability and follows up with Housekeeping and Engineering to minimize out of order rooms at any time.
- Ensure a proper co-ordination between GSAs checking-in, the guest and the porter who shows the guest to the room.
- As direct by management, ensure that Front Office Manager of Duty Manager or Management Representative escort VIP guests up to their room on check-in.
- Ensure a close liaison between Concierge and Reception such that GSAs are aware of the baggage accompanying a guest - which deposit is taken on check-in from all guests with little or no baggage. Directs GSAs to detect possible skippers, etc.
- All key replacement requests or duplicate are tightly controlled through him.
- Directs that no unauthorized have access to room key or master key card.
- Ensure that messages for guests are accurately recorded and delivered with the minimum delay.
- Procedures are followed for the informing of GSA and Telephone Department that a voice message is waiting for a guest, message light - text message in Opera.
- All efforts are made by department to locate guests especially when a message is urgent.
- Advises management regarding price structures, bearing in mind the customer’s need, and the profitability required by the Limousine Company.
- Follow up on the Guest Questionnaires are assigned by Executive Office.
- Review all guest complaint in Duty Mangers and general feedback with WOW response.
- Completed all assignments quickly, efficiently and accuracy according to hotel standards and procedures.
- Maintain complete familiarity with Fire, Safety and Emergency procedures according to hotel Rules and Regulations.
- Able to work independently, handling on Guest complaint well, refers complains to Executive Assistant Manager and General Manager if necessary.
- Be well informed with all general activities in the hotel or sales promotion so that can be given accurate information to in-house and non-in-house residence guests.
**Salary**: AED5,000.00 - AED8,000.00 per month
