Roles and responsibilities

The Senior Supply Chain Officer atABYAT , your primary responsibility isto oversee and manage the end-to-end order processing cycle,ensuring accuracy, efficiency, and customer satisfaction. You willbe responsible for coordinating with various internal departmentsto facilitate smooth order fulfilment, resolving any issues ordiscrepancies, and providing support to customers throughout theorder life-cycle.

JobDuties:

  • Initiate PO process by requestingProforma Invoice from the vendor, create PO in SAP afterreconciling
  • Follow up internally to get POfully released in the system.
  • Communicatingreleased PO details with the vendor and getting acknowledged withinitial readiness details.
  • Follow up tofinalise payment term requirements (LCs, Advanceetc.)
  • Follow up with the vendor until gettingthe readiness to arrange shipment.
  • NominatingFreight forwarder for the shipment after analysing tenderingprocess
  • Pre-Shipment follow-ups with vendorsand forwarders to ensure shipment processes are managedproperly.
  • Creating Shipments in SAP System -Inbound Creation, Shipment Creation, CostCreation.
  • SABER document process for KSAShipments
  • Post-Shipment follow-ups with thevendor and forwarders to collect original shipment documents ontime for customs clearance
  • Tracking Shipmentand updating events in the SAP system (ETD/ETA/ATPetc.)
  • Settling Shipment discrepancy (Excess/Shortage)
  • Settling commercial invoicevariance

1.Procurement andSourcing:

  • SupplierManagement: Identifying, evaluating, and selectingsuppliers for raw materials, goods, and services. Building andmaintaining strong relationships with suppliers to ensure reliablesupply and costefficiency.
  • NegotiatingContracts: Negotiating terms and pricing withsuppliers and vendors to secure favorable deals, ensuring the bestquality at competitiveprices.
  • PurchasingMaterials: Coordinating the purchasing of materialsrequired for production, ensuring that the right quantity isordered at the right time to avoid shortages or excessstock.

2. InventoryManagement:

  • InventoryControl: Overseeing inventory levels to ensure thatthe business has adequate stock without overstocking orunderstocking. This includes managing raw materials,work-in-progress (WIP), and finished goodsinventory.
  • StockReplenishment: Monitoring stock levels andestablishing reorder points to maintain a balance between supplyand demand.
  • WarehouseManagement: Managing warehouses or storagefacilities to optimize space, reduce costs, and maintain inventoryaccuracy.

3. LogisticsandDistribution:

  • TransportationCoordination: Managing the movement of goods fromsuppliers to warehouses and from warehouses to customers. Thisinvolves selecting transportation methods (land, sea, air) andoptimizing routes to reduce costs and deliverytimes.
  • DistributionNetwork: Overseeing the setup and management ofdistribution channels and ensuring timely and accurate delivery ofgoods to customers.
  • OutsourcingLogistics: If necessary, coordinating withthird-party logistics (3PL) providers for warehousing, packaging,and shipping.

4. DemandPlanning andForecasting:

  • DemandForecasting: Using historical data, market trends,and customer orders to predict future demand for products, ensuringthat the supply chain is prepared to meet the forecasteddemand.
  • CapacityPlanning: Ensuring that the supply chain, fromprocurement to delivery, is scalable and capable of handlingfluctuations in demand.

5.Supply ChainOptimization:

  • ProcessImprovement: Identifying areas within the supplychain that can be improved for greater efficiency andcost-effectiveness. Implementing process changes to streamlineoperations, reduce lead times, and minimizewaste.
  • TechnologyUtilization: Leveraging supply chain managementsoftware (e.g., SAP,Oracle, MicrosoftDynamics) to track inventory, orders, and shipments,and to improve decision-making.
