FF&E Coordinator

The job handler will be responsible for the blend of administrative support with elements of creative assistance. This role supports a design team or individual designers, facilitating smoother operations within a creative environment. This role requires excellent organization and communication skills, as well as the ability to work independently and as part of a team. You will be required to record all ongoing project information while coordinating with suppliers, vendors, etc.

Responsibilities
  1. Assisting the design team or individual designers to make presentation boards; maintaining documentation of all selected items and ensuring the availability of all items presented to the Client.
  2. Blend administrative support with elements of creative assistance.
  3. Assisting the Designers i.e. mounting of presentation boards and all other support needed.
  4. Providing support to the Designers in photocopying, scanning, and transmission of documents.
  5. Preparing FF&E specifications with guidance from the Designers, coordinating selections with the drawings and ensuring they are suitable for use and have the appropriate proportion and style.
  6. Ensuring that all documents, concept images, presentation images and scans are stored in the correct folders and that hard copies are filed and easily accessible.
  7. Checking availability and pricing of fabrics, equipment, lighting and other materials.
  8. Ensuring compliance to all policies, procedures and EO guidelines and quality standards.
  9. Handle sensitive information confidentially and securely.
  10. Performing any related task as instructed by the Line Manager.
Qualifications, Experience, Skills & Competencies
  • Educational Qualification: Bachelor's Degree in Business Administration, Communications, or a related field.
  • Years of Experience: Minimum 4+ years of relevant work experience.
  • Nature of Experience: Prior experience in an administrative or assistant/secretarial role is preferred. Knowledge & experience related to an interior design or creative environment preferred but not required.
  • Language Skills: Proficient in English (Arabic Desired).
  • Behavioural Competencies: Have a proactive nature and be forward thinking.
  • Excellent communication, interpersonal, and presentation skills.
  • Strong organizational and time management skills.
  • Ability to prioritize tasks and meet deadlines.
  • Attention to detail and accuracy in work.
  • Ability to maintain confidentiality and handle sensitive information.
  • Be flexible and adaptable to fast-paced projects.
  • Self-motivated and dependable.
  • Ability to take initiative and work independently or collaboratively within a team.
  • Show confidence, competency, resourcefulness, and attention to details.
  • Maintain open communication with colleagues.
Technical Competencies

Proficient in Microsoft Office. Photoshop and CAD software knowledge is not required but encouraged.
