KEY RESPONSIBILITIES
- Greet and welcome guests as soon as they arrive at the office and assist them to log in to our Teams-go system and print their visitor's pass.
- Direct visitors to the appropriate person in all floors
- Answer, screen and forward incoming phone calls and providing basic and accurate information in-person and via phone/email.
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
- Order front office supplies and keep inventory of stock.
- Update meeting room calendars and schedule meetings
- Keep updated records of office expenses and cost.
- coordinating with HSE team for arranging visitors' HSE office induction and updating the welcome presentation to be displayed on the TV screens.
- Takes delivery of parcels/documents, ensuring they reach their intended recipient. Also, arranges documents and parcels to be despatched as instructed, either by mail or by courier. Maintain register.
- Assist the Facilities Administrator in the administration of the Parking slots allotted to management.
- Activation/Deactivation of Roaming services and maintain register.
- Checking office supplies (pantry/stationeries) and ordering same where necessary.
PROFESSIONAL QUALIFICATIONS & EXPERIENCE
- Bachelor's degree.
- 2+ years of experience as a corporate receptionist.
- Additional certification in Office Management is a plus.
- Can speak/write English fluently. Knowledge of Arabic language is an advantage.

- Excellent communication and interpersonal skills, ability to deal with people at all levels.
- Uphold Group values as detailed in Subsea7 Management System.
- Proven work experience as a Receptionist, Front Office Representative, or similar role.
- Proficiency in Microsoft Office Suite.
- Solid written and verbal communication skills (English and Arabic is a plus).
- Ability to be resourceful and proactive when issues arise.
- Excellent organizational skills.
- Multitasking and time-management skills, with the ability to prioritize tasks.
