The Stationery Head is responsible for overseeing all aspects of stationery management within an organization. This role involves managing the procurement, distribution, inventory control, and quality assurance of stationery and related supplies to support the operational needs of various departments.

Responsibilities:

1. Procurement Management:

· Develop and implement procurement strategies to ensure the timely acquisition of quality stationery items at competitive prices.

· Identify reliable suppliers, negotiate contracts, and establish favorable terms and conditions to optimize procurement efficiency and cost-effectiveness.

2. Inventory Control:

· Monitor stationery inventory levels and usage patterns to prevent stockouts or overstock situations.

· Implement inventory control measures, such as reorder points, stock rotation, and storage optimization, to minimize waste and maximize efficiency.

3. Quality Assurance:

· Ensure that all stationery items meet quality standards and specifications, conducting periodic inspections and quality checks as needed.

· Address any issues related to product quality, damages, or discrepancies in a timely manner, liaising with suppliers or internal stakeholders for resolution.

4. Distribution and Logistics:

· Coordinate the distribution of stationery supplies to various departments or locations within the organization, ensuring timely delivery and accurate allocation based on demand forecasts.

· Collaborate with logistics partners or internal teams to optimize delivery routes, transportation modes, and distribution processes for cost-effective and efficient supply chain management.

5. Cost Optimization:

· Analyze stationery expenditure and usage data to identify opportunities for cost savings and efficiency improvements.

· Implement cost reduction initiatives, negotiate volume discounts, and explore alternative sourcing options to achieve budgetary targets without compromising quality or service levels.

6. Vendor Management:

· Cultivate and maintain strong relationships with stationery suppliers, fostering open communication, collaboration, and partnership.

· Evaluate supplier performance based on criteria such as quality, reliability, responsiveness, and customer service, providing feedback and implementing corrective actions as necessary.

7. Policy Compliance and Documentation:

· Ensure compliance with procurement policies, procedures, and regulatory requirements governing stationery management.

· Maintain accurate records of stationery purchases, inventory transactions, supplier contracts, and other relevant documentation for audit and reporting purposes.

Requirements:

· Bachelor's degree in Business Administration, Supply Chain Management, or related field.

· Proven experience in procurement, inventory management, or related roles, preferably with a focus on stationery management.

· Strong analytical skills and attention to detail, with the ability to interpret data and make informed decisions.

· Excellent communication, negotiation, and interpersonal skills.

· Proficiency in procurement software, inventory management systems, and Microsoft Office Suite.

· Ability to multitask, prioritize workload, and work effectively under pressure in a fast-paced environment.

· Leadership qualities, including team management, coaching, and conflict resolution skills.
