Responsibilities:

Key responsibilities

  • Project Planning and Documentation:
  • Assist in developing project plans, timelines, and milestones in collaboration with the project manager.
  • Create and maintain project documentation, including project charters, schedules, meeting minutes, and status reports.
  • Track and communicate project progress, milestones, and deliverables to stakeholders.
  • Team Coordination and Communication:
  • Coordinate project team meetings, including scheduling, agenda preparation, and meeting logistics.
  • Facilitate effective communication among project team members, stakeholders, and external vendors.
  • Ensure timely distribution of projectrelated information and documentation to relevant parties.
  • Resource Management:
  • Assist in resource allocation and coordination, including managing project calendars, schedules, and assignments.
  • Monitor resource availability and utilization, identifying and escalating any potential conflicts or constraints.
  • Coordinate with department managers or resource owners to ensure the availability of necessary resources for project activities.
  • Risk and Issue Management:
  • Assist in identifying, documenting, and tracking project risks, issues, and dependencies.
  • Support the project manager in implementing mitigation strategies and contingency plans.
  • Collaborate with team members to resolve projectrelated issues and escalate critical concerns to the project manager.
  • Quality Assurance:
  • Support the project manager in ensuring adherence to project management standards and best practices.
  • Perform quality checks on project deliverables to ensure they meet established criteria and standards.
  • Contribute to lessons learned sessions and knowledge sharing to enhance project management processes.
  • Stakeholder Engagement:
  • Assist in maintaining positive relationships with project stakeholders, ensuring their needs and expectations are addressed.
  • Coordinate stakeholder communications, including status updates, progress reports, and meeting coordination.
  • Serve as a point of contact for projectrelated inquiries and provide timely responses to stakeholders.

Qualifications:
To qualify, you must have

  • Bachelor's degree in a relevant field or equivalent work experience.
  • Proven experience as a project coordinator or in a similar role, demonstrating the ability to support project execution and coordination.
  • Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Excellent communication skills, both written and verbal, with the ability to effectively interact with team members and stakeholders.
  • Proficiency in project management software and tools (e.g., Microsoft Project, Jira, Trello) is preferred.
  • Strong problemsolving and criticalthinking skills, with the ability to identify and resolve issues proactively.
  • Ability to work collaboratively in a team environment and establish positive working relationships.
  • Familiarity with project management principles, processes, and terminology.
Ideally, you'll also need

  • Knowledge of project management methodologies and frameworks (e.g., Agile, Scrum) is a plus.
  • Attention to detail and a commitment to delivering highquality work within established deadlines.
  • Excellent verbal and written communication skills
