We are looking for an Assistant Manager to organize and coordinate administration duties and office procedures.

Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness besides the communication coordination with customers & suppliers.


Ultimately, the Assistant manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operations, in all business areas.

  • Logistics/warehouse
  • Production / Labelling
  • Delivering / payment collection
  • Social Media Activities

Requirements:

  • At least three years of relevant work experience.
  • Proven experience as an Assistant Manager, Front Office Manager or Administrative Assistant, etc.,
  • Knowledge of Office Administrator responsibilities, systems, and procedures.
  • Managing the office's daily operation tasks.
  • Preparing sales offers and sales orders.
  • Coordinating all coming shipments with the forwarding agencies.
  • Follow up sales and aftersales service with the customers.
  • Proficiency in MS Office MS Excel and MS Outlook (to be tested during the interview).
  • Handson experience with office machines (e.g. fax machines and printers, vacuum packaging machines).
  • Knowledge of Tally Books or related financial software.
  • Excellent time management skills and ability to multitask and prioritize work.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills in a fastpaced environment.
  • A creative mind with an ability to suggest improvements.
  • Willing to go the extra mile when it comes to working hours and company targets.
  • Ready to join immediately.

Experience:

  • Three years of relevant work experience in UAE

Assistant Manager Skills:


The assistant manager supports the office manager and performs several duties, so this role requires an aspiring manager to have a variety of skills to be effective at the position.


Because an assistant manager plays a vital role in our company HOUSE OF GEMS, they need to be confident, hardworking, and passionate about our industry and business.


1) Communication skills
Excellent verbal and written communication skills boost the professional's ability to convey information effectively.
Take notes when you listen. Become a better active listener by taking notes during conversations with your superiors and employees. Record and remember key points so you can refer to them when responding

2) Interpersonal skills


Because assistant managers interact and communicate with their colleagues and customers daily, interpersonal skills such as likeability, positivity, fairness, and calmness under pressure can make a big difference.


3) Responsibility
An assistant manager must represent its policies and values professionally. This position requires a full working knowledge of the business, its products or services, and procedures.

4) Ability to take direction and strong listening skills


An assistant manager must also listen, comprehend, and follow the unique style of their direct manager since they use their superior's objectives to ensure team success.


5) Decision-making and problem-solving abilities
Assistant managers often need to make on-the-spot decisions about large and small issues. It is important that you know how to analyze a situation quickly and make an informed decision that is sufficient, if not beneficial, for all parties

6) Mathematical skills
As an assistant manager, you work closely with numbers and analytics. Because of this, it's important to have strong mathematical skills and knowledge.

When you're presented with a financial report, for example, you need to understand the numbers to determine what they mean in regard to your team's sales and the overall profit.


Language:

  • Must be fluent in Tagalog, and English in speaking, reading & writing (to be tested during the interview).
