THE ROLE


The Project Management Officer (PMO) is in charge of supporting all the Client Services related activities for a designated region or sub region.

The role mainly focuses on providing administrative/financial support on client's project implementations and on assisting the regional Areas Services Manager with the build, the analysis and the consolidation of financial reports.

Additional activities could be planned if required, including but not limited to, organization of meetings and minutes, writing processes/guidance, provide general assistance to Services Department.

Other project related and internal housekeeping activities will also be part of this role.

OPPORTUNITIES

  • You will work closely with the Regional Area Services Manager and prepare Services dashboards and financial reports by consolidating and analysing data received from Projects Directors/Managers, Financial controllers and other relevant departments within the company.
  • You will organize regular meetings with Project Manager(s) to ensure project resources plan is accurate.
  • You will assist Project Manager(s) with resources booking by contacting resourcing team for updates to be done in Temenos resourcing tool (PRM), ensuring that staff is being utilized efficiently.
  • You will ensure that the Temenos resourcing tool is accurate and aligned with Project Manager(s) instructions/resources plan.
  • You will assist the Project Manager(s) with the preparation of the monthly billing (revenue sheet analysis) and followup on invoices creation with the appropriate billing team.
  • You will ensure invoices and associated backup sheets are clear, correct and approved by Project Manager(s) before billing team send them out to the client.
  • You will liaise with Credit Controller for followup on invoices payment.
  • You will understand the content of the relevant client agreements (License, Maintenance, Services) and be aware of the key contractual elements (payment terms, milestones, agreed expenses type, onboarding process, deliverables etc.).
  • You will assist the Project Director(s)/Manager(s) with the creation of Services opportunities in T-Force and followup on their status to ensure accuracy of the data in the system.
  • You will review the drafted contractual documents together with the opportunity owner and with the Legal department if applicable.
  • You will gather project information and make sure mandatory documents/sign off are uploaded in Temenos system (Unit-T) to ensure accuracy for project tracking and audit purpose. Set up and maintain all project information within Oracle.
  • You will ensure that all consultants (internal, external and employees of partner companies) record and submit their time sheets and expenses properly and on time in Temenos system.
  • You will check for accuracy based on project contractual terms and existing Temenos policies and assist the Project Director(s)/Manager(s) with Timesheets and expenses approval.
  • You will, whenever required, assist the project team with Temenos and/or Client procedures in place when (for time, expenses and travel booking).

SKILLS

  • You should have a related degree/diploma or equivalent experience in the role.
  • You should have experience in Finance/Administration/IT or Customer support (preferably in a software environment or a consulting company or a system integrator).
  • You should have an excellent command of English. French is considered as a benefit.
  • You should have excellent numerical and analytical skills with attention to detail, along with good verbal and written communication skills.
  • You should have experience of dealing with large amounts of data and producing meaningful reports.
You should have Salesforce experience.

You should be able to analyse and interpret monthly variances and trends between budgets, actual and prior results (budget vs actuals, cost variances etc.).


  • You should have experience in supplier management producing all documentation for suppliers and dealing with all budgeting/finances.
  • You should have experience meeting targets for accuracy, quality, and agreed service standard.
You should have the ability to work within project constrains to ensure that milestones and delivery dates are met.
